    Description

    The Operations Assistant plays a key role in the day-to-day functioning of our organization. This position supports a range of administrative and operational tasks, with a focus on managing financial logistics, maintaining accurate records in Salesforce, and providing hands-on event support. The ideal candidate is reliable, organized, tech-savvy, and enjoys working behind the scenes to keep things running smoothly.

    Key Responsibilities

    Administrative & Financial Support

    • Process and track bill payments for both organizational expenses and client-related bills
    • Track, acknowledge, and report donations, both physical and digital
    • Assist with maintaining financial records and liaise with the bookkeeper or accountant as needed
    • Support the procurement of office and program supplies

    Salesforce CRM Management

    • Enter and update data on clients, volunteers, donors, and community partners
    • Generate regular reports and support CRM data clean-up projects
    • Maintain data accuracy and confidentiality

    Program & Event Support

    • Assist with setup, breakdown, and logistics for weekly programs and community events
    • Coordinate with vendors, volunteers, and staff as needed for event preparation
    • Help maintain an organized supply of inventory for events and programs

    General Office Support

    • Answer phones and respond to inquiries, or direct them appropriately
    • Assist with mail handling, filing, and document management
    • Support other administrative and programmatic tasks as assigned

    Essential Skills

    • Strong organizational and time management skills
    • High attention to detail, especially with data entry and financial documentation
    • Experience with Salesforce or similar CRM systems (preferred)
    • Comfortable with basic financial processes (bill paying, expense tracking, etc.)
    • Ability to lift/move light equipment or supplies for events
    • Strong interpersonal skills and a collaborative attitude
    • Interest in community-based nonprofit work

    Preferred Qualifications

    • Bilingual: Italian/English
    • Bachelor's Degree in Business or related field
    • Nonprofit experience and/or interest
