    Description

    AFS-USA is part of a worldwide network of AFS partner organizations that work together to advance global education and foster meaningful connections across cultures. As the network’s largest partner, AFS-USA works to increase the global competency of U.S. citizens by providing a variety of international and intercultural learning experiences to individuals, families, schools, and communities. We are proud of our staff from our national office in New York City as well as home offices across the county, who collaborate with our more than 2,000 AFS-USA Volunteers to deliver high quality programs and global education resources. These include immersion-based study abroad experiences in over 40 countries worldwide; opportunities to host foreign AFS exchange students; and global learning workshops and curricula for educators, schools and businesses.

    The Regional Travel & Logistics Assistant (Chicago Based and New York Based) supports both in‑office and on‑site operations related to student travel logistics. This includes coordinating the arrival and departure of thousands of exchange students, working in airport environments, arranging travel accommodations, and ensuring smooth communication with staff, volunteers, partner organizations, and participants.

    DUTIES/RESPONSIBILITIES:

    • Reconfirm return international travel arrangements.
    • Create and update travel schedules.
    • Meet departing AFS students at airports (Chicago or New York).
    • Meet arriving AFS students at New York and other gateway airports.
    • Communicate with international partners to confirm flights and e‑tickets.

    • Provide airport duty coverage for sending programs.
    • Enter and maintain accurate travel data.
    • Generate reports using tools such as Report Builder and Power BI.

    QUALIFICATIONS AND SKILLS:

    • Passion for international study abroad environments.
    • Ability to work well under pressure.
    • Willingness to travel and work flexible hours, including overtime and weekends.
    • Excellent communication skills.
    • Ability to prioritize and meet tight deadlines while handling multiple projects.
    • Strong problem-solving skills; highly motivated; attention to detail
    • Enthusiasm and flexibility to respond to the needs of AFS staff and volunteers.
    • Computer literacy, including word processing, spreadsheets, email, database management, webinar and internet applications.
    • Willingness to travel.

    WORK EXPECTATIONS:

    • The regular business hours of AFS-USA are Monday - Friday, 9AM - 5PM EST. However, you may work a schedule outside of these hours dependent on the needs of your department. There will be times when hours will be altered due to seasonal fluctuations in workload and will include overtime, evening, and occasional weekend work. The expected start date for this position is March through September. You must be available for the entire duration of the season. This position will be a combination of remote work, on-site at needed, and in office as needed.

    SALARY:

    • The compensation for this position is $21/hourly. This position is eligible for overtime pay and sick & safe leave.
