    Description

    POSITION TITLE: Bookkeeper (Part-Time / Hybrid)

    (14-20 hours/week, with occasional additional hours as needed)

    REPORTS TO: Deputy Director of Operations

    FUNCTION: Responsible for day-to-day bookkeeping and financial recordkeeping that supports the Museum’s operations and compliance, including managing the QuickBooks Online accounting system; ensuring accurate, timely financial reporting and reconciliation; and supporting audits and tax filings.

    COMPENSATION $30-$32 per hour

    POSITION RESPONSIBILITIES:

    Bookkeeping & Transaction Management

    • Manage day-to-day bookkeeping in QuickBooks Online, including recording and paying bills (checks and autopay), tracking online transactions (events and memberships), credit card activity, payroll entries, and other recurring journal entries.
    • Record POS activity, cash receipts, bank deposits, and transfers between bank and investment accounts.
    • Oversee internal cash-handling procedures to ensure accuracy and compliance.

    Reconciliations & Account Management

    • Conduct monthly reconciliations of bank, credit card, POS, and investment accounts.
    • Reconcile grants, prepaid expenses, deferred revenue, and other balance sheet accounts.
    • Maintain the Chart of Accounts, fixed asset schedule, and Asset Management Workpaper.

    Reporting & Financial Oversight

    • Prepare monthly financial reports, including Profit & Loss, Balance Sheet, and Cash Flow statements.
    • Support accounting for grants and special projects as needed.

    Audit & Compliance Support

    • Organize documentation, prepare schedules, and create reports for the annual external audit and Form 990 tax return.

    JOB REQUIREMENTS:

    • Minimum 3 years bookkeeping experience, preferably in a non-profit organization
    • Proficiency with QuickBooks Online and Excel
    • Experience preparing audit schedules
    • Excellent analytical, organizational, and communication skills
    • Familiarity with an e-commerce environment and Square POS a plus
      • Positive, good-humored, supportive and team-focused attitude.

    EDUCATION:

    BA in Accounting, Finance, or related experience.

    WORK CONDITIONS

    Job may be performed onsite or hybrid. The position will require employee to lift, bend, stoop, walk, speak, and stand, as well as operate basic office equipment.
