    About the HEAL (Health, Environment, Agriculture, Labor) Food Alliance:

    Co-founded by the Food Chain Workers Alliance, the National Black Food & Justice Alliance, Real Food Challenge, and the Union of Concerned Scientists, HEAL is a multi-sector, multi-racial coalition building collective power to transform our food and farm systems, with racial justice and community self-determination at the core. We are led by our member organizations, who represent over 2 million rural and urban farmers, ranchers, fishers, farm and food chain workers, indigenous groups, scientists, public health advocates, policy experts, community organizers, and activists nationwide.

    About this position:

    The Administrative Associate contributes to the overall functioning of HEAL through impeccable backend operations. They implement administrative support for systems that support HEAL’s staff, members, and vendors to implement programs and campaigns that support and align with organizational values.

    The ideal candidate knows that this work enables an organization to thrive, has meticulous attention to detail, and recognizes the value of impeccable tracking and follow through. This position works closely with the HEAL teams responsible for Operations and our School of Political Leadership (SoPL), and reports to the Operations & Events Manager.

    The primary responsibilities in this position include:

    • Data management and tracking, including, but not limited to:
      • Membership engagement
      • SoPL applications, and participant onboarding materials
      • Donor database
      • Hiring
    • Research and logistics for all in-person event planning, including, but not limited to:
      • values-aligned venues and vendors
      • making travel, accommodations, and meal arrangements
      • tracking expenses
    • Managing logistics for all virtual events, including registration, technology (primarily on Zoom), and follow up
    • Supporting Finance Manager with regrants, honoraria, stipends & expense coding
    • Monitoring and managing email communications, listservs, and Google Drive
    • Contributing to overall effective functioning of HEAL through participation in and contributions to program and strategy meetings, evaluations, grant proposals and reports, and other team needs as they arise, using experience from this position to contribute to the development of HEAL.

    Expected hours of work

    Standard days and hours of work are Monday through Friday, 9 am- 5 p.m. Daily schedule is flexible within reason, with an expectation to be reachable online 9am-2pm PT. Evenings & weekends may be required for specific in-person events.

    Travel

    When public health conditions allow, domestic travel is required 2-3 times per year for meetings and conferences.

    QUALIFICATIONS

    • Organized: Able to organize materials, set priorities between multiple demands (programs, membership, operations, etc), and meticulously track details such as financial expenses and event logistics.
    • Communicative: Excellent English language skills in all areas of verbal and written communications, and be skilled in interpersonal relations. Spanish-language skills are a plus.
    • Adaptive: Able to prioritize and reprioritize, adapting as organizational needs shift.
    • Self-directed Team Player: Demonstrate initiative, comfortable managing projects independently and remotely, while maintaining transparency, accountability, communication, and integrity handling sensitive information. Comfortable taking a collaborative approach.
    • Equity Driven: Demonstrate commitment to movement work and understanding of the intersections of racial, economic, environmental, and disability justice.
    • Tech Savvy: Must be able to utilize common office software and be comfortable with the Google suite, Excel, Mentimeter, CRMs like AirTable, Zoom, and online project tracking tools such as Asana and Slack.

    Exceptional candidates from any region will be considered, with a preference for those based in New York, Virginia, Maryland, Illinois, California, Texas, North Carolina or Washington.

    COMPENSATION AND BENEFITS

    This is a full time salaried exempt position with annual gross pay of $75,000-$80,000, commensurate with experience and location.

    • HEAL’s full time benefits package includes:
      • 15 standard holidays, 2 personal days, and up to 3 civic engagement days per year
      • Accrual of 13.33 vacation hours per month
      • Accrual of 8 sick hours per month
      • Medical, vision, dental for employees and dependents 100% employer sponsored basic life, short-term, and long-term disability insurance coverage.
      • Access to a 401k retirement plan with employer contribution
      • Access to FSA & Dependent Contribution Plan plans.
      • Annual wellness professional development and home office stipends
      • A paid three-month sabbatical after the first 7 years of continuous service, and each 4 years after that.

    HEAL also closes down our office for a paid winter hibernation period during the two weeks surrounding Christmas and New Years (inclusive) and a paid one-week summer rejuvenation period.

    HEAL also loans a laptop for work use, and provides a partial internet and cell phone reimbursement.
