    Description

    Asase Yaa Cultural Arts Foundation is a Brooklyn-based arts and education organization with a 25-year legacy of cultural programming, school residencies, performances, and community-centered work. We are expanding our programs and operations and seeking a reliable, highly organized Executive Assistant to support the Executive Director with day-to-day tasks and long-term projects.

    Position Overview

    The Executive Assistant will provide direct administrative and operational support to Executive Director K. Osei Williams. This role is ideal for someone who is organized, proactive, detail-oriented, and comfortable working in a fast-paced, mission-driven environment. The position is hybrid, with three in-office days each week, approximately 4 hours per day, and additional remote work as needed.

    Key Responsibilities

    • Manage the Executive Director’s calendar, schedule meetings, and coordinate appointments.
    • Draft, edit, and send emails, letters, and internal communications
    • Support the preparation of presentations, proposals, and reports
    • Organize documents, files, and materials for grants, programs, and administrative tasks
    • Assist with operations for the School of the Arts, AY Well+Fit, Outreach Program, and Foundation initiatives.
    • Coordinate meetings with partners, teaching artists, board members, and community stakeholders
    • Track deadlines and follow up on outstanding tasks, especially related to DOE, programs, and fundraising requirements
    • Support event planning for programs, performances, and community events
    • Handle light office management tasks on in-office days (receiving mail, printing, organizing materials, etc.)

    Maintain confidentiality and professionalism at all times.

    Level of Language Proficiency

    • Strong organizational and time-management skills
    • Excellent written and verbal communication
    • Comfortable using Google Workspace (Gmail, Docs, Sheets, Drive, Calendar), Zoom, and basic project management tools
    • Ability to work independently and take initiative
    • Reliable, punctual, and committed to high-quality work
    • Experience in arts administration, education, nonprofits, or community organizations is a plus.
    • Ability to adapt to shifting priorities and support multiple projects at once
