Overview
The Program Associate supports the day-to-day implementation of Emma’s Torch’s workforce development programs during a defined, temporary period. This role provides operational, administrative, and student-facing support across recruitment, onboarding, and core program functions to ensure smooth execution and a positive participant experience.
The Program Associate works closely with Program Managers and other team members to strengthen systems, maintain accurate records, and help coordinate services that enable student success. This position is well suited for someone who is highly organized, adaptable, and committed to trauma-informed, strengths-based workforce development.
This role does not supervise staff and does not carry long-term program ownership.
Key Responsibilities
Student Recruitment & Outreach
- Support recruitment efforts by coordinating outreach with community-based organizations, referral partners, and workforce development networks
- Serve as a point of contact for prospective applicants, responding to inquiries and providing accurate information about Emma’s Torch programs
- Assist with planning and hosting information sessions and recruitment events
- Maintain up-to-date records of recruitment sources and referral relationships
Application, Intake & Onboarding Support
- Support the student application process, including application review, scheduling interviews, and follow-up communication
- Assist with onboarding logistics, including intake documentation, orientation coordination, and program readiness steps
- Ensure application and onboarding data is accurately entered and maintained in internal tracking systems
- Support student file organization and compliance with internal documentation standards
Program Operations & Student Support Coordination
- Provide day-to-day administrative and logistical support to Program Managers
- Help coordinate program schedules, workshops, and key milestones
- Provide light-touch referral support by connecting students to appropriate internal staff or external community resources
- Identify and communicate emerging student needs or participation barriers to appropriate program or support staff
- Maintain clear role boundaries, escalating complex social service or case management needs rather than directly providing them
Data & Systems Support
- Track program-related metrics including applications, enrollments, attendance, and participation trends
- Assist with reporting and data entry to support internal tracking and external reporting requirements
- Share observations and process improvement suggestions with program leadership
- Support accurate recordkeeping and confidentiality in line with organizational policies
Qualifications
- Experience in workforce development, social services, higher education access, hospitality training, or community-based programs preferred
- Strong organizational skills and attention to detail
- Excellent communication skills and comfort engaging with diverse communities
- Ability to manage multiple tasks in a dynamic, in-person program environment
- Familiarity with trauma-informed, strengths-based approaches
- Ability to maintain confidentiality and professional boundaries
Additional Notes
- This is a temporary, part-time position anticipated to last approximately six months; continuation or conversion to a permanent role is not guaranteed.
- Role will split time between Brooklyn and Inwood program locations.
- Employment is at-will, consistent with New York State law.
- The Program Associate does not supervise staff and does not provide clinical or intensive case management services.
