    Description

    The Site Director provides oversight and support for all aspects related to site administration, including, but is not limited to:

    • Handle routine administrative tasks to keep the site in good working order.
    • Ensure timely internal and external communications.
    • Oversee site use and scheduling.
    • Maintain the site calendar and administrative databases (donors, volunteers)
    • Prepare grant applications and reports.
    • Create and distribute event publicity across social media, print, and the website.
    • Coordinate community and collaborative opportunities to support growth.

    Position Overview

    The Site Director provides oversight and support for all aspects related to site administration, including, but is not limited to:

    • Handle routine administrative tasks to keep the site in good working order.
    • Ensure timely internal and external communications.
    • Oversee site use and scheduling.
    • Maintain the site calendar and administrative databases (donors, volunteers)
    • Prepare grant applications and reports.
    • Create and distribute event publicity across social media, print, and the website.
    • Coordinate community and collaborative opportunities to support growth.

    Essential Duties and Responsibilities

    The Site Director must be able to work directly with various individuals associated with the site, with community partner agencies, and with multiple HHC committees. Duties fall into four areas: operations, administrative, marketing, and fundraising.

    Operations

    • Supervise the Visitor Services Coordinator.
    • Coordinate maintenance and serve as liaison between maintenance contractors and the BSHS site.
    • Maintain office equipment and software, ensuring backups, security, and password management.
    • Coordinate staff and Commissioner coverage for HHC events and assist as needed.
    • Provide occasional back-up as an on-site greeter.

    Administrative

    • Manage the BSHS events calendar.
    • Coordinate, including submission of meeting notices to the North Carolina Secretary of State, and attend all full HHC meetings and other relevant meetings with the HHC Chair.
    • Coordinate weekday checks of the HHC mailbox, voicemail, and website with the Visitor Services Coordinator.
    • Submit donations and invoices to the Finance Coordinator and coordinate timely tracking and acknowledgments.
    • Maintain paper and electronic filing systems and operational databases in coordination with the Finance Coordinator and Visitor Services Coordinator.

    Marketing

    • Ensure all marketing materials are created in a timely manner and are consistent with the branding and mission of the site, including social media, email marketing, newsletters, press releases, website, and printed materials.
    • Promote special events as needed.
    • Submit all planned HHC events to community calendars, including the Visit Hillsborough website and other community calendars.

    Fundraising

    • Plan and oversee major fundraising events, such as the Spring Gala and Auction, at the direction of the HHC Chair.
    • Support fundraising and development efforts, including the Annual Fund, monthly sustainer program, and fundraising events.
    • Collect data and compile materials for grants and third-party reports, prepare and submit grant applications and reports, and attend grantor meetings as requested by the HHC Chair.

    Education and Experience

    Bachelor’s degree from an accredited four-year college or university or a combination of education and experience required to perform essential position duties.

    Required Skills

    • Proficiency in Microsoft Office 365 or Google Workspace.
    • Familiarity with, or willingness to learn, QuickBooks and basic financial principles to support the Finance Coordinator.
    • Experience with digital, social media, publicity, and graphic design tools
    • Strong written and verbal communication skills.
    • Ability to work collaboratively with visitors, volunteers, staff, Commissioners, and community partners.
    • Interest in or background in American history, including African American history, local history, and or historic preservation.

    Hiring Procedures and Compensation

    • The Site Director is an employee of the Historic Hillsborough Commission (HHC), which owns and operates the Burwell School Historic Site (BSHS).
    • The pay rate for the Site Coordinator is $21.00/hour with a quarterly stipend offered to assist in covering medical insurance coverage.
    • Payroll is processed monthly and paid via direct deposit on the 5th of the following calendar month. The Site Director is a W-2 employee and will receive documentation annually for tax purposes.
    • If an employment offer is made to the applicant, a background check is required. The cost of the background check will be paid by the HHC.

    Anticipated Start Date

    The organization is prepared to have a new Site Director with an anticipated start date no earlier than the week of March 16, 2026.

    Position Schedule

    This is a hybrid position of 30 hours per week. The Site Director is expected to be on site at least four days per week, with additional on-site time as needed. A regular monthly schedule will be shared with members of the HHC. Some evening and weekend hours are required for meetings and events. The Site Coordinator reports directly to the HHC Chair.
