    About the Role

    BPDA is seeking a highly organized, detail-oriented Training Programs Coordinator to support the planning, coordination, and execution of our virtual and in-person professional development trainings. This contract role is ideal for someone who is proactive, reliable, and able to move tasks from start to finish with minimal oversight. Flexibility is essential, as hours will increase during major conferences and training periods.

    Key Responsibilities

    Training Coordination & Planning

    • Maintain and update the full BPDA training calendar
    • Build timelines for each training, ensuring tasks and deadlines are met
    • Track progress on all trainings and follow up with staff, partners, and trainers
    • Identify scheduling conflicts and propose solutions

    Committee & Internal Support

    • Attend Training Committee meetings and support note-taking, task tracking, and follow-up
    • Prepare agendas, materials, and planning updates for review
    • Coordinate with BPDA staff to ensure alignment across departments

    Communications & Promotion

    • Serve as the liaison between the Training team and Communications team
    • Provide needed information for promotional materials, newsletters, and social media
    • Ensure external communications follow BPDA brand and messaging guidelines
    • Coordinate announcements, reminders, and partner outreach

    CLE Documentation Support

    • Gather and organize all CLE-required materials (agendas, bios, objectives, timed outlines)
    • Ensure accuracy and timely submission with NLADA staff
    • Maintain internal CLE documentation and respond to basic participant questions

    Logistics & Event Support

    • Coordinate scheduling, venue communication, A/V needs, room setup, and tech support
    • Support travel coordination for trainers when applicable
    • Develop run-of-show documents, schedules, and training flow materials

    Trainer & Participant Coordination

    • Collect session descriptions, biographies, agendas, and learning objectives
    • Confirm trainer availability and coordinate pre-training meetings
    • Manage participant registration pages, confirmation emails, Zoom links, and follow-ups
    • Maintain updated rosters and respond to administrative questions

    Materials & Production

    • Format, proofread, and finalize participant materials
    • Coordinate printing and distribution when needed
    • Maintain organized archives of all training content

    Day-Of & On-Site Support

    • Manage check-in, name tags, materials, and room setup
    • Troubleshoot basic tech issues
    • Serve as the point of contact for trainers, participants, and venue staff

    Post-Training Support

    • Send and track evaluations
    • Compile feedback summaries and attendance for CLE documentation
    • Archive materials and assist with training-related expenses and invoices

    Required Qualifications

    • Strong written and verbal communication skills
    • Excellent organizational skills and the ability to prioritize tasks
    • Proven ability to take assignments from start to finish independently
    • High attention to detail and accuracy
    • Comfort using Google Workspace, Zoom, shared calendars, and project tools
    • Ability to handle multiple timelines and follow-up consistently
    • Reliable, responsive, and able to adjust to shifting needs

    Preferred Qualifications

    • Experience coordinating trainings, events, or professional development programs
    • Familiarity with CLE requirements or legal training environments
    • Previous work experience in nonprofit or mission-driven organizations
    • Comfort troubleshooting basic technical issues (Zoom, A/V, file formatting)
    • Experience with registration platforms (Eventbrite, Zoom Events, etc.)

    Compensation & Hours

    • $17/hour (contractor role)
    • Approx. 40 hours per month, with additional hours required during major training periods and conferences. (increased hours for March, April, and June)
    • Flexible hours, but must be available for scheduled trainings and coordination meetings
