St. Martin’s-in-the-Field Church is a vibrant community in Severna Park, Maryland, where worship, learning, love, and spiritual growth thrive. We are seeking our next Parish Administrator—a dedicated partner in ministry who will join a staff who works together with authenticity and joy. This detail-oriented and collaborative role works closely with clergy, staff, parish members, community partners, and vendors. Primary responsibilities include managing the church office, maintaining records and databases, coordinating facility use, and supporting worship and ministry activities. The ideal candidate will be a professional, welcoming presence of the church.
Office Oversight
- Oversee daily office operations and maintain an organized, welcoming environment.
- Serve as the primary point of contact for visitors, calls, emails, and mail.
- Manage office supplies, service contracts, and equipment maintenance.
- Administer the phone system, including voicemail and messages.
- Maintain filing systems, archives, and official parish records (baptisms, weddings, confirmations, burials), and issue certifications as requested.
- Prepare labels, mail merges, and materials for mass mailings.
- Distribute mail and packages.
Worship and Ministry Support
- Maintain the parish membership database and prayer list.
- Provide administrative support for parish commissions, especially the Altar Guild, Flower Guild, and Hospitality Ministry.
- Prepare and distribute worship schedules for Acolytes, Eucharistic Ministers, Lectors, Intercessors, AV volunteers, and Ushers using Ministry Scheduler Pro.
- Support the Vestry by preparing annual notebooks for new members and maintaining public and archival records of meeting minutes.
- Assist the Welcome Ministry with preparing and mailing new member packets, tracking engagement, and updating membership data.
- Oversee preparation of the Annual Parochial Report for the Diocese.
- Coordinate Sunday service logistics—including coffee hour, printed materials, and children’s resources—with assistance from office volunteers.
Facilities
- Manage facility rentals, maintenance requests, and building security.
- Maintain key inventory and oversee key distribution.
Qualifications
- Proven experience in office administration or a similar role.
- Excellent organizational and time management skills.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to work independently and collaboratively.
- Must be able to pass background checks.
- Have personal character references available—we especially value honesty, positivity, healthy boundaries and a sense of humor.
