The NYC Environmental Justice Alliance (NYC-EJA) seeks an Operations Associate to work closely with the Executive and Deputy Directors to provide administrative and operational support to the NYC-EJA team and manage organizational procedures and policies.
Working under the supervision of the Executive and Deputy Directors, the Operations Associate will support the team with multiple functions across the organization. Reporting to the Executive Director, the ideal candidate will have superb attention to detail, discretion and strong judgment, operational and project management experience, and excellent communications skills. This is a full-time, in-person (not hybrid) position in our office.
The Operations Associate will have the following main responsibilities:
- Support administrative procedures and systems, such as payroll, benefits, and personnel PTO
- Manage and track organizational reporting tasks, such as submitting regular lobbying reports to the City and the State on behalf of NYC-EJA, and coordinating across the team as needed
- Work with the staff on foundation grant tracking and reporting
- Support organizing and tracking invoices, checks, and other financial administrative processes and systems (such as tracking and responding to monthly donations)
- Support office space management, operations, and coordination, such as assessing office supplies and needs and overseeing office purchases
- Monitor and manage NYC-EJA’s organizational email accounts and incoming requests and correspondences
- Assist planning and coordinating events and meetings to support the team in executing meetings and events when needed
- Maintain and develop guidance and structure for our document storage and records retention, such as Dropbox and Google Drive
- Help manage and maintain the organizational calendars for NYC-EJA activities and events
- Help support the Executive Director’s professional activities on a case-by-case basis
- Provide administrative support to staff as needed
Qualifications:
- At least a four-year high school diploma or its educational equivalent approved by a State's Department of Education or a recognized accrediting organization with some college preferred
- At least 2-3 years experience in administration, operations, and/or executive support
- Knowledge of environmental justice and climate justice a plus
- Excellent written and verbal communication and interpersonal skills required
- Outstanding organizational, time-management and multi-tasking skills, including the ability to take initiative, prioritize duties, work independently and be a team player
- Proficiency in Microsoft Office Suite and Google Suite
- NYC experience preferred
- Sense of humor is a plus
