    Description

    General Position Summary:

    The Volunteer Coordinator assists in the coordination of Food Lifeline’s volunteer activities and is responsible for activities such as the recruitment and scheduling of volunteers, maintenance of volunteer records in the donor database, maintenance of the online scheduling tool, and assistance with volunteer recognition and development efforts.

    Essential Functions:

    • Provide excellent customer service by engaging and communicating with volunteers to build relationships, community, and a sense of team.
    • Maintain timely and up-to-date scheduling of daily and essential volunteer staffing needs via online tools to ensure that volunteers are appropriately scheduled to fulfill needs of production, events, projects, administrative roles and overall requests.
    • Coordinate all aspects of volunteer registration process, assignment of shifts for groups and individuals and provide follow-up confirmation, troubleshooting and communicating via email and telephone calls.
    • Greet and welcome volunteers and facilitate a positive and welcoming environment.
    • Maintain up-to-date volunteer records in database and files and produce activity reports.
    • Engage in ongoing communication and collaboration with production team and department staff regarding current volunteer needs, coordination, and ongoing support.
    • Recruits for and leads volunteers at offsite events.
    • Creates positive experience for volunteers at onsite and offsite events through orientation, training, and leading of activities.
    • Collaborate with Volunteer Director and Food Lifeline staff to develop and implement strategic methods for the recruitment, recognition and retention of volunteers and planning for future growth.
    • Maintain and update communication and contents on volunteer website, registration site, and community recruitment sites.

    Secondary Functions:

    • Supports Food Lifeline’s fund development efforts.
    • Supports and staffs special events as needed.
    • Attends meetings as assigned.
    • Works occasional evenings and weekends as required.
    • Other duties as assigned by supervisor.

    • Knowledge of Food Lifeline’s history and mission.

    • Ability to engage with volunteers respectfully and with a customer service focus.
    • Ability to use discretion and make decisions within parameters.
    • Ability to work well with people from a diverse array of backgrounds and experiences.
    • Skill with customer service.
    • Ability to apply concepts of basic math: addition, subtraction, multiplication, division, and percentages.
    • Skill in using computer software to accomplish scheduling, word processing, spreadsheets, and e-mail.
    • Skill in using computer software designed for the not-for-profit setting, such as Raiser’s Edge and/or Volunteer Hub.
    • Ability to work as member of a team.
    • Ability to work independently.
    • Ability to maintain positive working relationships.
    • Ability to assess needs and assign resources.

    Education and/or Experience:

    • Minimum 3 years in an office or customer service position required. Experience in Volunteer Coordination preferred. Experience scheduling people and assigning duties helpful. Experience with MS Office required.
    • Ability to pass background check including criminal investigation to ensure ability to work with or around children or youth.

    Job Conditions:

    Work is performed primarily in an office setting with adequate lighting, heating and ventilation. Position requires occasional evening and weekend hours to accommodate scheduled volunteer shifts and special events. Occasional overtime required. Position routinely must response to requests for changes with tact and patience.

    Physical Demands:

    Position requires prolonged sitting and frequent keyboarding activity with repetitive hand and wrist motions. Requires continuous reading on computer screen. Requires frequent speaking, listening, and communicating by phone, email, and in-person.
