    Washington Business Week (WBW) is looking for someone to join our team as a part-time Operations/Executive Assistant.

    As an Operations/Executive Assistant, you will help manage the many moving parts of WBW by serving as a central point of coordination for communications, scheduling, and administrative workflows. This role is critical to ensuring that commitments are met, messages are responded to, and Business Week’s operations continue moving forward smoothly.

    This is a part-time position (20 hours per week) with flexibility in scheduling for people based in Washington State.

    Duties and Key Responsibilities

    • Communication Management – You’ll be the first point of contact for people looking for information about WBW, managing our general inbox, our digitized mail, and responding to voicemail. You’ll answer common questions while routing others to the appropriate WBW team member.
    • Executive Support – You’ll work closely with the Executive Director by managing inbox triage, follow-ups, and calendar coordination.
    • Administrative & Operational Support – You’ll assist in managing administrative tasks like filings, applications, and donor acknowledgments. You’ll further coordinate with WBW partners like the campuses where we host WBW.
    • Onsite & Program Support You’ll help us prepare for programs updating materials for the programs and creating resources. You will provide onsite logistical support during WBW’s summer programs or events. Currently, WBW hosts three programs across Washington State each summer.

    Requirements

    Required:

    • Experience managing email, scheduling, or administrative workflows in a professional setting
    • Strong written communication skills and comfort drafting emails on behalf of others
    • Excellent organizational skills and attention to detail
    • Ability to work independently, find answers, and manage shifting priorities
    • Comfort working in a fast-paced, growing organization with evolving needs
    • Ability to learn and utilize new tools quickly
    • Applicants must be based in Washington State.

    Preferred:

    • Prior experience in nonprofit operations, startup operations, executive support, or administrative coordination
    • Experience working with teenagers and high school students
    • Familiarity with tools such as shared drives, calendars, CRM systems, or project tracking tools
    • Connection to Washington Business Week as a former student, volunteer, or parent, WBW alumni are strongly encouraged to apply
