RIVET is seeking a full-time, remote Administrative Assistant to serve as a central operational and fundraising support role in a fast-growing, mission-driven startup. This position supports the CEO, fundraising team, and finance/operations functions by managing systems, coordinating donor and prospect engagement, handling logistics for meetings, events, and travel, and ensuring smooth internal tracking of gifts, contracts, and financial documentation. The role blends high-volume fundraising support with strong systems thinking, clear communication, and adaptability, making it ideal for someone who thrives in ambiguity and enjoys building processes that enable a small, global team to scale its impact advancing youth-led social change.

Core responsibilities
- Support RIVET’s fundraising and brand building efforts (65%):
- Manage the full cycle for successful meetings with the CEO (40%):
- Logistics: schedule, track and prepare CEO and internal and external attendees for meetings, including travel arrangements when necessary, registering for conferences and events
- Moves management: track meeting notes, follow-up tasks and attendee stewardship steps
- Research & Preparation: qualifying new prospects, including drafting concept materials when needed
- Communication: liaise with external constituents on behalf of the CEO
- Manage ongoing supporter communications (20%):
- General supporter communications: draft and prepare monthly/quarterly communications to go out to RIVET’s community of supporters
- Event support: send invitations, track attendance and follow-up for RIVET online and in-person events
- Mentorship sessions: work with RIVET’s Youth Engagement Coordinator to plan and execute mentorship sessions for RIVET grantees with RIVET’s community of supporters
- Internal Team Support (5%):
- Tracking and note taking: attend RIVET’s fundraising team meetings, track notes and necessary deliverables from consultants; support scheduling efforts amongst internal teams when needed
- Reporting: work with RIVET’s fundraising team to manage data collection and report out on key metrics
- Support RIVET’s finance and operations team (25%):
- CRM updates and automations: day-to-day tracking of meetings, work to maximize capabilities within RIVET’s CRM software across departments
- Gift processing:manage donor gift follow up and acknowledgements
- Internal tracking: receipts, invoices, contracts and agreements
- Special Projects (10%):
- Mix of internal and external-facing projects that will vary, including; event support; in-kind donation tracking; and more
Compensation: USD $40,000-50,000
- FTE, U.S.-based; for non-U.S. candidates, salary will be adjusted based on local market data

Time commitment: We ask that all full-time staff members maintain daily overlap with core team hours. For this role specifically: Mon-Fri from 11a-2p ET.
Weʼre looking for:
- 2-3 years of administrative experience managing outreach and logistics for meetings, travel, or events – or demonstrated transferable experience from roles with similar complexity
- Systems oriented you have experience operating and implementing systems, specifically with CRM software tools (we use monday.com); you enjoy using software and tools to improve systems
- Operational execution you are able to manage data and information and translate it into implementing solutions (in other words, you can “follow a recipe” and find creative solutions to bake the pie)
- Excellent written and oral communication skills in American English; demonstrated ability to communicate with and engage a wide range of audiences; excellent note taking skills and an ability to manage relationships
- Superb attention to detail so that there is confidence that one’s work will not need to be double checked for accuracy
- Ability to be flexible in a startup environment where tasks and projects change quickly
- Ability to work independently as well as prioritize multiple tasks in a highly dynamic environment
