    Description

    The Program Associate plays a key role in the growth and success of Minds Matter Seattle by supporting volunteer-led programming, enhancing the student experience, and expanding operational capacity. This role focuses on ensuring that programs run smoothly, that communication flows effectively among students, families, and volunteers, and that data is used to inform continuous improvement and organizational growth.

    Key Responsibilities

    Program Operations & Logistics

    • Coordinate operations and resources for weekly Saturday programming, including room booking, catering, and logistical communication with volunteers and students.
    • Maintain a relationship and key partnership with Seattle University to ensure long-term availability of crucial resources (classrooms, auditoriums, IT services, food, etc.).
    • Support the delivery of key program components, including summer programming, enrichment opportunities, guest speakers, off-site field trips, and career exploration days.
    • Partner with Academic Directors to ensure each grade-level program runs efficiently and aligns with Minds Matter’s curriculum goals.
    • Lead planning and execution of large-scale events, including Kickoff, Career Days, Holiday Party, and End-of-Year Celebrations.
    • Support marketing and communications efforts, including social media, newsletters, and website updates.
    • Support the executive director with fundraising efforts, attending the annual gala, engaging volunteers for Giving Tuesday, etc.

    Volunteer & Student Support

    • Help recruit, onboard, and retain a diverse group of volunteers and mentors aligned with Minds Matter’s mission and values.
    • Support with volunteer communications, reminders, and key program updates.
    • Support student recruitment and outreach to partner schools.
    • Maintain positive, professional relationships with students, families, and volunteers to ensure strong engagement and retention.

    Data, Systems, & Reporting

    • Manage program databases (e.g., Salesforce, Overgrad, Adalace) to track attendance, participation, and outcomes.
    • Build and maintain data systems to inform student-focused growth decisions.
    • Maintain student and volunteer compliance.

    Benefits

    • Compensation: $65,000 commensurate with experience.

    • Work Schedule: Full-time, 40 hours per week, including attendance at program sessions (Saturdays) from September to June.

    Level of Language Proficiency

    1. 2–3 years of experience in education, youth development, nonprofit operations, or related field.
    2. Strong organizational and project management skills with excellent attention to detail.
    3. Comfort with data systems, reporting tools, and using data to drive decision-making.
    4. Excellent written and verbal communication skills.
    5. Demonstrated ability to work collaboratively with diverse groups of students and volunteers.
    6. Passion for educational equity and the mission of Minds Matter Seattle.
    7. Flexible and adaptable to a fast-paced, volunteer-driven environment.
    8. Proficiency in Microsoft Office, Google Suite, and CRM systems (Salesforce experience preferred).
