    POSITION ANNOUNCEMENT: Facilities Manager

    Saint Ann's School, an independent, non-sectarian day school, is seeking a Facilities Manager to join our Buildings & Grounds Department. The Buildings & Grounds Staff is under the direction of the Director of Campus Facilities & Capital Management.

    RESPONSIBILITIES

    The Facilities Manager plays a central role in maintaining the functionality and efficiency of Saint Ann’s buildings and grounds. This position blends hands-on operational work with administrative and systems oversight. The ideal candidate brings solid working knowledge of building systems: mechanical, electrical, plumbing, HVAC, fire alarm and life safety, and building management systems (BMS), along with a strong desire to continue learning and growing in the role. The Facilities Manager supports the Director of Facilities Services and other important responsibilities and duties may include, but are not limited to, the following:

    • Support daily facilities operations across nine campus buildings; respond to maintenance requests and emergencies as needed.
    • Manage the facilities’ work order system, ensuring requests are prioritized, assigned, and completed efficiently.
    • Manage the access control system, including card access, keys, and door schedules; coordinate with IT and Security for system updates.
    • Ability to maintain and monitor building systems (HVAC, electrical, plumbing, elevators, life safety, etc.), coordinating with contractors and vendors for repairs or inspections.
    • Maintain up-to-date knowledge of the School’s fire alarm systems, including panel operations, alarm zones, emergency response procedures, and annual testing schedules.
    • Perform minor repairs in various trades: electrical, plumbing, HVAC, carpentry, etc.
    • Conduct regular walkthroughs to identify facilities and safety issues, ensuring timely resolution.
    • Maintain records for inspections, maintenance logs, and compliance documentation.
    • Assist in developing and monitoring preventive maintenance schedules and facilities budgets.
    • Support the department with capital projects, renovations, and vendor management.
    • Communicate with contractors and staff to coordinate work, ensure safety compliance, and minimize disruption to school operations.
    • Review vendor invoices and service reports for accuracy and completeness.
    • Ensure compliance with NYC Department of Buildings, Fire Department, and Department of Health regulations.
    • Participate in emergency planning, drills, and crisis response.
    • Support sustainability and energy efficiency initiatives across campus.
    • Actively participate in the positive development of other facilities maintenance team members and the development of technical knowledge of the team.
    • Some weekend or afterhour work is expected, as well as participation in Emergency On-Call Response, in rotation with other team members.

    PERSONAL AND PROFESSIONAL REQUIREMENTS

    • Minimum of 5 years’ experience in facilities, building operations, or maintenance (school, university, or institutional setting a plus).
    • Working knowledge of HVAC, electrical, plumbing, fire alarm, life safety, and BMS systems.
    • Strong organizational and problem-solving skills with attention to detail.
    • Experience managing work order and/or access control systems strongly preferred.
    • Excellent communication and interpersonal skills.
    • Proficiency with Microsoft Office or Google Workspace; ability to learn facilities software and databases.
    • Ability to read and interpret sketches, drawings, diagrams and blueprints.
    • Willingness to be on call for facilities emergencies.
    • Able to lift 40 lbs and work on feet for extended periods.
    • Demonstrated ability to work and think independently and ability to interact well with a wide range of people of all levels within and outside the School.
    • High school diploma or equivalent required; technical training or certifications (FMP, HVAC, or similar) a plus.

    LICENSES AND CERTIFICATES

    Hold or obtain within 4 months of employment:

    • FDNY Certificate of Fitness F-01 Fire Guard, S-95 Fire Alarm, S-12 Sprinkler Systems and S-13 Standpipe Systems
    • OSHA 30 certification

    COMPENSATION

    This is a full-time, exempt staff position with a competitive compensation package including benefits. Annualized salary range of $95,000-$102,500 commensurate with education and experience. $50 monthly reimbursement for cell phone also provided.
