    Position Summary

    Supports core financial, administrative, and customer service functions across the association, including accounts receivable, accounts payable assistance, financial reporting, membership services, conference registration, and general office operations. Ensures accurate financial processing, maintains databases, and provides receptionist backup as needed.

    Primary Duties and Responsibilities

    Accounts Receivable

      • Processes receivable transactions (checks, credit cards, EFTs).
      • Prepares and sends invoices; responds to payment inquiries.
      • Handles ACH setups, collections, specialized billing (e.g., Veteran Affairs).
      • Reconciles revenue for annual audit; prepares recurring general ledger entries.
      • Maintains working knowledge of databases related to cash receipts.

    Accounts Payable (Backup)

      • Logs and reviews invoices, travel expense reports, and credit card statements in PN3.
      • Ensures coding accuracy, supporting documentation completeness, and processes payments.
      • Provides PN3 training.
      • Prepares check reconciliation, month-end reports and follows up on outstanding checks.
      • Maintains vendor files, including Form W-9 and ACH forms; verifies SAM (System for Award Management) registrations.
      • Prepares and files Forms 1099‑MISC and 1099-NEC.

    Financial Reporting

      • Prepares and distributes monthly financial statements.
      • Provides schedules and documentation for the annual audit.

    Conference & Meeting Support

      • Assists with registration, payments, confirmations, substitutions, refunds, and cancellations.
      • Maintains registration database and reports; supports logistics and on-site tasks.

    Membership Support

      • Assists with renewals, mailings, and acquisition activities.
      • Supports updates to the association management system (AMS).
      • Helps with membership fee invoicing and related inquiries.

    General Administration

      • Provides receptionist backup as needed.
      • Maintains knowledge of association systems (ClearVantage, NetSuite, MemberSuite, PN3, Access).
      • Ensures accuracy of accounting procedures and compliance with internal controls.
      • Participates in training and performs other duties as assigned.

    Requirements

    College degree preferred; administrative experience required.

    Strong organizational, communication, and interpersonal skills.

    Attention to detail; ability to manage multiple priorities; customer service orientation.

    Proficiency with Word, Excel, PowerPoint, and Outlook.

    Familiarity with standard office equipment and practices.

    Compensation Range

    $61,000 - $67,000
