    Description

    Foothill Unity Center (FUC) is seeking a Finance Coordinator to support our finance team in Monrovia, CA. The Finance Coordinator will manage government grant reimbursements, accounts receivable/payable, payroll coordination, and financial reporting. This role is focused on executing the financial requirements of existing grants (not grant-writing). We are hiring two Finance Coordinators for on-site work (Monday–Friday, 8:00 am–4:30 pm) in our Monrovia office.

    Responsibilities

    • Government Grant Billing & Compliance: Prepare and submit timely reimbursement claims/invoices for city, county, state, and federal grants/contracts with all required documentation. Review grant budgets and terms to ensure costs are allowable and within funding limits.
    • Account Receivable Tracking & Reporting: Monitor outstanding grant reimbursements, follow up on unpaid claims, and resolve discrepancies with funders. Compile and organize financial data (service units, client counts, match documentation) for program performance reports and audits. Assist in gathering records for monitoring visits and annual audits.
    • Accounts Payable & Vendor Management: Oversee the accounts payable process by verifying, coding, and approving vendor invoices (matching them to purchase orders or agreements when applicable). Process bill payments (checks or electronic) under established internal controls. Maintain accurate vendor records, including W-9 forms and up-to-date contact/payment information.
    • Accounts Receivable (General): Record and deposit incoming revenues (donations, grant reimbursements, etc.), ensuring correct coding across programs and reconciling these records between the donor database (e.g. NeonCRM) and the accounting system (QuickBooks).
    • Payroll Coordination: Review and validate employee timecards for accuracy. Coordinate with our external payroll service to process payroll and distribute payroll reports, in collaboration with HR/Operations.
    • Financial Reporting & Monitoring: Assist in preparing internal financial reports and analyses for management. Contribute to external reports (e.g. grant budget vs. actual, financial statements) needed for funders, audits, and board meetings. Track key financial metrics (such as grant spending rates, program budget utilization, accounts receivable aging) to support effective fiscal management.
    • Systems & Data Integrity: Maintain and utilize financial/data systems (QuickBooks, NeonCRM, Excel) for recording transactions and generating reports. Perform regular reconciliations between systems to ensure data integrity and accurate reporting.
    • Cross-Department Collaboration: Work closely with Program and Advancement staff to ensure expenses and revenues are coded to the correct grants/accounts and that grant-funded expenditures align with program deliverables. Proactively communicate any budgetary concerns or funding issues.
    • Process Improvement: Identify opportunities to streamline finance workflows and strengthen internal controls. Recommend and help implement process enhancements to increase efficiency, accuracy, and compliance.
    • Other Duties: Perform additional finance or administrative tasks as assigned to support FUCI’s mission.

    Qualifications

    • Associate degree (or equivalent) in Accounting, Finance, or a related field.
    • 1–2 years of experience in accounts payable/receivable, bookkeeping, or general finance.
    • Proficiency with QuickBooks, Microsoft Excel, and financial data entry.
    • Experience with CRM/donor databases (e.g. NeonCRM, Salesforce, DonorPerfect).
    • Experience coordinating payroll processes is a plus.
    • Strong attention to detail, organizational skills, and ability to multitask and collaborate effectively (implicit from job duties).

    Work Environment & Physical Demands

    Office Environment: Standard office setting at Foothill Unity Center in Monrovia, CA. This is a full-time on-site position (Monday–Friday, 8:00 am–4:30 pm). Occasional travel to other FUC locations in the San Gabriel Valley may be required; rare evening or weekend hours may be needed to meet critical deadlines or special events.

    Physical Demands: Extended periods of sitting or standing while working at a computer; clear communication skills (in person and by phone). Ability to lift/move up to ~20 lbs (e.g. boxes of files or supplies) and to travel locally between offices (a valid driver’s license or equivalent transportation is required).     Salary & Schedule

    • Salary Range: $27.00 – $30.00 per hour (depending on experience and education). This range is provided in compliance with California’s pay transparency laws (Senate Bill 1162 and Assembly Bill 168, Labor Code §432.3).
    • Hours: Full-time (40 hours per week), Monday–Friday, 8:00 am–4:30 pm, on-site in Monrovia.

    Interview Process

    Candidates selected after application review will go through a multi-step interview process:

    1. Initial Zoom Interview with our HR & Operations Manager (Jonathan).
    2. Second Zoom Interview with our Director of Advancement (Julie Swayze).
    3. Final In-Person Interview with the finance team at our Monrovia office.
