POSITION SUMMARY
The Executive Assistant provides high-level administrative and project support to the Executive Director and Board of Trustees. Serving as a key partner to organizational leadership, this role ensures that the Executive Director’s time, communications, and priorities are effectively managed. The Executive Assistant plays a central role in supporting board governance, coordinating executive-level communications, and managing sensitive information with discretion.
KEY RESPONSIBILITIES
Executive Support
- Manage the Executive Director’s calendar, schedule, and travel arrangements, proactively prioritizing time and commitments.
- Draft, edit, and prepare professional correspondence, reports, and presentations on behalf of the Executive Director.
- Anticipate the Executive Director’s needs and provide solutions to optimize efficiency.
Board & Governance Support
- Serve as primary staff support for the Board of Trustees and committees.
- Prepare board packets, agendas, and official meeting minutes.
- Coordinate logistics for board meetings and ensure timely follow-up on action items.
Communications & Relationship Management
- Act as liaison between the Executive Director, staff, board, funders, and external partners.
- Draft and manage communications with donors, partners, and key stakeholders.
- Represent the Executive Director professionally in meetings and at events as needed.
Project & Organizational Support
- Support strategic initiatives and special projects led by the Executive Director.
- Coordinate cross-departmental communications and ensure deadlines are met.
- Maintain confidential files and organizational records with discretion.
QUALIFICATIONS
- Bachelor’s degree preferred; equivalent experience considered.
- 3–5 years of experience in executive-level administrative support.
- Strong written and verbal communication skills, with attention to detail.
- High level of discretion in handling confidential information.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Proficiency in Microsoft Office/Google Workspace; experience with CRM/databases a plus.
- Strong interpersonal skills and the ability to build relationships with diverse stakeholders.
COMPENSATION
Salary Range: $55,000 – $70,000/year (based on experience)

The Executive Assistant role reflects the highest level of administrative support within the organization. It is both operational and strategic, requiring the ability to anticipate needs, manage complex priorities, and support governance and external relations. Staff who demonstrate initiative, independence, and strong critical thinking in administrative roles (such as Administrative Assistant or Administrative Coordinator) may grow into this role with the right training and experience.
