    Description

    Seeking Assistant Secretary to help our fast-paced legal services team represent union members throughout NYC, Long Island, and some near upstate counties. You will:

    • Provide administrative and clerical support for attorneys and staff members of the Legal Services Plan
    • Schedule member appointments and maintain office calendar
    • Assist Legal Secretaries with organizing case files, and maintain the office closed files
    • Serve as back up for receptionist and direct calls and visitors as appropriate
    • File, Serve, and pick up legal and other case-related documents to/from locations throughout the 5 boroughs, Long Island, Westchester and Rockland counties
    • Monitor, e-track and download case documents from NYSCEF and NYS Unified Court System
    • Make weekly bank deposits and post office and UPS drop-offs when necessary
    • Perform all other clerical and administrative duties as assigned
    • Notarize member signatures
    • Assist attorneys with organizing, redacting, scanning, uploading and electronically filing all manner of exhibits and other legal paper

    Qualifications and Education Requirements

    • High school degree or equivalent
    • Enthusiastic attitude
    • Ability to handle sensitive and confidential information with integrity and professionalism
    • Excellent verbal and written communication skills, ability to convey information in a clear and professional manner
    • Flexibility and ability to adapt to changing priorities and work in a fast-paced environment
    • Experience working in an office setting preferred
    • Must be able to successfully pass notary exam within six months of hire (Legal Services Plan will provide all supplied and cover related exam fees)
    • Ability and willingness to travel frequently, often without advance notice, throughout the 5 boroughs, Long Island, Westchester and Rockland counties
