    Job Title:

    Office Administrator (16 hours per week)

    General Summary:

    The Office Administrator provides essential administrative and clerical support, acting as the central point for office operations, communication and record-keeping, handling tasks like preparing bulletins, reports and other documents, sending out regular correspondence, maintaining databases, coordinating building use activity and supporting the pastor, staff, and lay leadership, all while maintaining confidentiality and a friendly, organized approach.

    Principal Duties & Responsibilities:

    The responsibilities of the Office Administrator include, but are not limited to, the following:

    • Provide hospitality to visitors and respond to telephone and email inquiries.
    • Compile and format documents including bulletins for Sunday services and special events; a monthly newsletter; and annual reports to the conference.
    • Facilitate communications, including weekly email updates and reminders, newsletters and periodic mailings; promote church events in local media; and maintain the church website.
    • Maintain church records for internal use.
    • Coordinate all building use activity, including maintaining the church calendar with church events and rentals; scheduling events and handling keys, forms, and payment; and addressing concerns and issues with tenants and regular renters.
    • Contribute to the care of the church property by communicating with the trustees and custodian about building needs; setting up maintenance appointments; and managing climate control, telecom accounts, and other building matters.
    • Maintain organization of the office area; order office supplies, coffee hour supplies, choir and band music, and holiday plants and flowers; and keep storage areas organized.

    Qualities, Skills & Competencies Required:

    Applicants need not be members of the Methodist church, though familiarity with church processes is preferred. Other qualities, skills, and competencies include:

    • Calm, friendly, flexible, and approachable personality
    • Superior organizational and administrative skills and attention to detail
    • Superb verbal, written, and electronic communication skills with people of all ages
    • Acceptance and affirmation of people from diverse racial, cultural, gender identity, sexual orientation, family structure, and physical/mental ability backgrounds
    • Ability to handle sensitive information with discretion and professionalism
    • Receptive to feedback
    • Ability to work both independently and as part of a team
    • Proficient with word processing and spreadsheet software (LibreOffice, Apple Pages, Google Docs/Sheets/Slides), WordPress, Church Windows or similar database software, online calendars
    • Comfortable with office technology (copier, scanner, heat/AC apps, email lists)

    Education, Experience & Qualifications:

    Our ideal applicants would have 5 years relevant experience or a Bachelor’s degree with at least 1 year experience in administrative support. However, we welcome applicants with varied experiences and expertise – if you feel called to apply, please do so even if you don’t check all the boxes.

    Working Conditions, Hours and Compensation:

    The Office Administrator will devote 16 hours per week to fulfilling the duties outlined above. Working hours and days are flexible and can be structured according to the mutual benefit of the Pastor and the Office Administrator. The Office Administrator is eligible for paid vacation. The hourly rate of pay for the Office Administrator starts at $25/hour.
