    Description

    The Manager of Program Operations is a manager-level role that advances The Practice Space’s mission through program coordination, communication and planning, coach hiring and onboarding, and logistical support for seasonal coaches and program coordinators. Reporting to the Chief Program Officer, this position plays a key role in implementing effective communication and leadership programs that are fully staffed with high-quality coaches.

    The Practice Space is at an exciting and pivotal stage in the evolution of our work, and this role is ideal for someone with an entrepreneurial spirit who thrives in ambiguity and is motivated to build upon the strong foundation already in place. The Manager of Program Operations brings strong project management skills to serve as the logistical backbone of our programs as we expand our organizational reach, while building and maintaining a robust pipeline of coach talent to support quality programs as we grow.

    Core Responsibilities

    Program Coordination (50%)

    • Manage logistics and operations related to programs at The Practice Space (across all ages), including making sure programs are adequately staffed, details are fully communicated, site needs are anticipated and supported, and timelines and roles are clearly defined and managed
    • Participate in calls with schools, partner sites, and lead agencies to gather site information and logistics (i.e. days/times, grades, frequency, group size, space, etc) and facilitate communication between the site leads and the appropriate staff member from The Practice Space (i.e. program coordinators)
    • Secure, manage and maintain strong relationships with lead agencies and partners by building productive relationships with site leads, school administration, and other points of contact
    • Ensure we have the necessary conditions for the successful program implementation

    Team Support (20%)

    • Collaborate with different team members on site-based problem-solving and troubleshooting with a focus on scheduling, coach placement, logistical issues (such as absences, incomplete registration, rooms, supplies) and student engagement and behavior issues
    • Meet with program coordinators to gather feedback and updates and facilitate planning related to program launches, ongoing status, and culminating experiences
    • Maintain program trackers and update project management tools (i.e. Trello)
    • Support the team with program data collection

    Coach Hiring, Onboarding and Development (30%):

    • Manage all phases of the coach employee lifecycle, including recruitment, hiring, onboarding, advancement, and transitions, to ensure programs are fully staffed with high-quality coaches
    • Ensure that our recruiting, hiring, and onboarding processes promote diversity, equity, inclusion, and accessibility; maintain knowledge of DEI-related issues, legislation, and best practices, as well as working to embed efforts towards DEI in daily work
    • Ensures compliance with federal, state, and local employment laws and regulations, district requirements, and internal policies so employees are cleared to work in schools
    • Provide guidance to minors who apply for our assistant coach positions, especially for those who are getting their first job

    Required Qualifications

    • Demonstrated experience coordinating programs, projects, or operations with multiple stakeholders and moving parts within a nonprofit, education, youth development setting
    • Demonstrated experience working in related administrative roles, such as program managers, registrars, or administrative managers
    • Ultra-organized and reliable with hyper-attention to detail and accuracy
    • Ability to manage logistics, timelines, calendars, and details across concurrent priorities with strong follow-through
    • Experience recruiting, onboarding, and supporting staff or seasonal team members
    • Strong organizational and project management skills, including clear documentation and communication
    • Excellent written and verbal communication skills
    • Excellent interpersonal and collaboration skills
    • Comfort working in a dynamic, evolving environment and navigating ambiguity with flexibility and initiative
    • Proficiency with common workplace tools (e.g., Google Workspace, Trello, etc.) and ability to learn new systems
    • Passion for working in non-profit organizations, especially in underserved communities
    • Deep commitment to diversity, equity, inclusion, and anti-racism

    Benefits

    This is an in-person role with a flexible schedule and some remote work. Full-time employees receive a comprehensive benefits package, including medical, dental, and vision, access to a 403b retirement savings plan and monthly technology stipends. All employees receive generous paid time off and opportunities for career advancement and professional growth. Salary is based on experience, starting between $80,000-$85,000 annually.
