    Position Summary:

    The Gift Processing Specialist is part of the National Operations Team at our headquarters in Chicago, Illinois. The Gift Processing Specialist is responsible for working closely with Donor Relations staff and National Operations teammates to provide engaging and rewarding donor experiences to our supporters. To accomplish this goal, the Gift Processing Specialist is responsible for providing exceptional customer service to all donorswhen answering questions over the phoneor email, sending digital or written communications, and communicating internally to support the donor's needs.

    This positionrequires a detail-oriented and collaborative approachto all duties and responsibilities. The Gift Processing Specialist will be overseen by the Gift Processing Coordinator and Gift Processing Manager. It is expected that the Gift Processing Specialist is a technically proficient, highly organized team player who embodies a clear understanding and passion for NPH USA’s mission, vision, organizational imperatives, values, diversity, equity, and inclusion.

    Primary Responsibilities and Duties:

    Donor Customer Service

    • Manage incoming calls and emails in collaboration with Gift Processing Coordinator
    • Provide accurate, timelyresponses and follow up internally to resolve inquirieswith care and efficiency.
    • Execute donor care enhancement initiatives under the supervision of the Gift Processing Coordinator and Donor Care & Fundraising Events Manager

    Gift Processing & Financial Reconciliation

    • Process all donationformats (sponsorship, generalgifts, digital wires,checks, credit cards, ACH) with precision and consistency
    • Accurately record contributions in fundraising database
    • Reconcile daily depositsand fundraising platformtransactions , supporting financial integrity and donor confidence

    Donor Communications & Database Management

    • Draft, review, and send gift acknowledgments, reminders, and tax lettersthat reflect donor impact
    • Maintain data integrityand update donor profiles to ensure accurateand meaningful engagement with donors

    Event & Donor Care Support

    • Provide onsite or virtual supportfor major fundraising events, contributing to memorable donor experiences
    • Administer mobile/event management platforms and reconcile event results to informfuture planning
    • Coordinate donor care touchpoints duringevents, fostering connection and appreciation

    Operational Collaboration & Process Optimization

    • Support the Gift Processing Coordinator on process reviewsand improvements
    • Assist with procedural documentation and training materials that empowerteam learning and consistency

    Reporting & Ad‐hoc Analysis

    • Generate and distribute ad‐hoc reportsas requested by Gift Processing leadership to support strategic decision-making
    • Provide data insights to inform operational decisions in collaboration with Gift Processing team

    Qualifications & Requirements

    • College degree or equivalent training
    • Previous experience in accounts receivable role preferred
    • Strong communication skillswith previous customerservice experience
    • Detail-oriented with excellentorganizational skills
    • Ability to work independently and multi-task to thoroughly completeconcurrent projects
    • Experience working with Outlook, Word, Excel, Adobe PDF
    • Ability to learnnew systems required, experience with Salesforce CRM preferred
    • Must be able to meet deadlines
    • Must be a team player in a small office environment
    • Must be willingto do some light travel to other regions
    • Must be willingto have flexiblework hours as needed
