    General Position Summary

    The Agency Experience Coordinator (AEC) is a support-focused role that provides day-to?day coordination and operational assistance to Food Lifeline’s Agency Experience (AE) Team and the member agency network. This position focuses on executing established processes, responding to agency needs, and supporting smooth and efficient food distribution through Agency Express, allocation programs, and Shop the Dock. The AEC serves as a primary point of contact for agency partners on ordering, scheduling, and operational questions, and supports internal teams by coordinating information, resolving routine issues, and maintaining accurate records. This role emphasizes responsiveness, attention to detail, and collaboration to strengthen relationships with agency partners and reduce barriers to food access. This is a hybrid position that requires a regular onsite presence, with work performed both in the office and remotely based on operational needs.

    Essential Functions / Major Responsibilities

    Agency Support & Customer Service

    • Serve as a liaison between Food Lifeline teams and member agencies on topics related to ordering processes, scheduling, and distribution.

    • Receive and respond to inquiries from agency partners and internal teams, providing timely, accurate, and customer-centered support.

    • Support agency partners with order returns, order modifications, rescheduling, and invoice corrections by executing established procedures.

    • Identify, document, and help resolve operational challenges agencies experience, escalating issues to the Agency Experience Manager as appropriate. Operational Coordination & Execution

    • Provide technical and operational support to the Agency Experience team by executing daily coordination tasks and maintaining accurate and organized records.

    • Lead weekly allocation process for food distribution as well as provide programmatic support for the programs (TEFAP, NFS) which provide the allocated food under the direction of the Agency Experience Manager

    • Coordinate the receipt of inventory reports from agencies, reconcile reports with Food Lifeline records, and compile data for reporting to WSDA and other partners.

    • Oversee dock scheduling as it relates to member agency pickups, including appointment times, dock designations, holiday closures, and schedule adjustments. This role does not manage general dock operations, but supports accurate scheduling, rescheduling, and clear communication with agency partners regarding their pickups.

    Cross-Departmental Collaboration

    • Coordinate with Operations, Inventory, Warehouse, and other teams to support efficient food movement and resolve routine technical or operational issues.

    • Represent the Agency Experience team in internal workgroups and support Operations-related processes such as returns, recalls, and left-behind product.

    • Assist with documenting agency complaints, issues, and resolutions in collaboration with the Agency Experience Manager, and track follow-up actions. Secondary Functions

    • Assist Distribution Specialists with processing and creating orders as needed.

    • Provide backup customer service support to agencies picking up from the Hunger Solutions Center.

    • Contribute to the monthly agency newsletter and other agency-facing communications. • Participate in annual agency survey efforts and support agency engagement activities.

    • Support food safety and recall communications to agencies and partners.

    • Occasionally support Agency Advancement projects for deeper engagement with the agency network and professional development.

    • Perform other duties as assigned by supervisor.

    Required Qualifications

    • Demonstrated understanding of the intersections of hunger, poverty, racial inequity, and social injustice, and awareness of challenges faced by communities experiencing food insecurity.

    • Strong customer service experience, including the ability to solve problems, de?escalate conflict, and communicate clearly and consistently with partners.

    • Ability to execute tasks using project coordination tools (e.g., Asana) to support organized and timely work.

    • Proficiency with Microsoft Office, including word processing, spreadsheets, and email communication.

    • Willingness and ability to obtain a Washington State Food Worker Card and ServSafe Manager training within 30 days of hire.

    • Valid Washington State driver’s license and ability to safely drive for job-related meetings and events.

    Supervisory Responsibility

    • No supervisory responsibilities.

    Job Conditions

    • Hybrid position with a regular onsite work requirement; schedule and in-office days are determined by operational needs.

    • Work is performed in an office and warehouse-adjacent environment.

    • Position requires frequent communication with agency partners and internal teams. • Occasional evening or weekend work may be required to support operations or special activities.

    Schedule, Location & Benefits:

    • Pay range: $25.00–$30.00 per hour
    • Location: Hybrid position based in Seattle, WA, with regular onsite presence required
