    Summary

    USA for UNHCR is seeking a highly organized, detail-oriented, and solution-focused Associate, Program Engagement to support the seamless delivery of high-quality fundraising materials and effective coordination between internal teams and UNHCR, the UN Refugee Agency. This role is essential to ensuring donors and prospects receive clear, compelling value propositions and understand the impact of their generosity. The Associate will combine project management, editorial support, and stakeholder communication to help deliver proposals, reports, and funding opportunity materials that meet strict compliance, accuracy, and deadline requirements. This position also plays a key role in optimizing workflows, maintaining project tracking systems, and strengthening collaboration across teams to drive efficiency and excellence in fundraising operations.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Coordinate funding opportunities from initial request through conception, implementation, and reporting, using project tracking tools to monitor deadlines, organize deliverables, and ensure timely and accurate communication with stakeholders
    • Maintain dashboards and project management tools to help the Program Engagement (PE) team monitor progress, prioritize tasks, and improve workflows; contribute to developing best practices for project management platforms
    • Maintain up to date knowledge of USA for UNHCR and UNHCR procedures for developing, reviewing, clearing, and documenting funding opportunities, ensuring compliance and smooth coordination across PE staff, fundraisers, and UNHCR focal points
    • Draft and review proposals, concept notes, grant applications, and reports to ensure consistency, clarity, accuracy, and alignment with U4U, UNHCR, and donor standards
    • Develop, update, and maintain proposal and reporting templates and guidance materials to streamline information gathering and ensure tools reflect evolving donor requirements and organizational best practices
    • Track and manage all donor reporting obligations, follow up with internal teams and UNHCR to ensure timely submission, and conduct final formatting and compliance reviews prior to delivery
    • Draft responses to donor questions and conduct research and outreach to UNHCR to ensure accurate and complete follow up
    • Coordinate and document final funding terms, including reporting schedules, implementation periods, and fund transfer timelines, and maintain clear and organized documentation
    • Stay informed about UNHCR programs, global emergencies, campaigns, and thematic priorities to support development of donor materials and provide relevant context
    • Support development, organization, and maintenance of a comprehensive intranet resource library of U4U and UNHCR materials
    • Perform other duties as assigned

    QUALIFICATIONS

    EDUCATION and/or EXPERIENCE

    • Bachelor’s degree or equivalent preferred, with 3 to 5 years of experience in grant writing, grant or project management, international programs, or fundraising and donor relations
    • Strong knowledge of grant management, project management principles, proposal and report development, monitoring and evaluation practices, and fundraising across corporate, foundation, civil society, and high net worth donor segments
    • Proficiency in Microsoft Office and Excel, fundraising CRMs such as Salesforce, and project management software such as Jira, with proven ability to draft technical donor materials including proposals, grants, concept notes, budgets, and impact reports
    • Demonstrated ability to manage multiple high priority projects in fast paced environments, with strong attention to detail, excellent communication skills, and the ability to build effective relationships with diverse stakeholders
    • Ability to work collaboratively and independently, identify process improvements, provide strong customer service, learn quickly, adapt to evolving needs, and maintain an inclusive and growth-oriented mindset
    • Understanding of refugee issues and global affairs

    WORK LOCATION

    Hybrid + New York City + May also involve travel to some locations within the company’s region of operations and select donor locations.

    Compensation

    $38.24 - $44.93 per hour, based on a 35-hour work week.
