    About EdVoice and EdVoice Institute

    EdVoice is a 501(c)(4) nonprofit education advocacy organization reshaping public education in California so that students from low-income communities have futures filled with opportunity. More than 60% of California’s 5.8 million public school students are low-income. The sobering reality is that most perform at about half the level of their more affluent peers across key indicators such as reading, math, and college readiness. Clearly, the state’s 175-year-old public education system is not meeting the needs of all students. Achieving the kind of systemic change necessary to address the scale of the problem requires bold, coordinated action at the state level.

    Together, EdVoice and its sister organization, EdVoice Institute, a 501(c)(3), drive scalable policy changes for the children of California. EdVoice Institute develops and advances evidence-based policy solutions to improve learning statewide alongside coalition partners. EdVoice leads the lobbying and campaigning to get those policies passed. EdVoice also provides strategic political contributions through its EdVoice for the Kids PAC to leaders who prioritize the needs of students from low-income communities.

    This dual approach is unique among education policy groups in California and has already proven successful. Since relaunching in 2022, EdVoice has championed transformative early literacy policy changes that will uplift reading outcomes for millions of students. This includes universal screening for reading difficulties in all K-2 classrooms and statewide adoption of evidence-based reading instruction and materials. In addition, both organizations have influenced legislation to place more qualified teachers in high-needs schools. Looking forward, EdVoice and EdVoice Institute will continue to push for an education system in which all children—regardless of background—have access to the quality education they need and future opportunities they deserve.

    The Opportunity

    EdVoice is seeking a highly organized and curious Finance & Operations Coordinator who is eager to learn how the full backend of a mission-driven organization operates. This role offers a rare opportunity to gain hands-on experience across finance, compliance, operations, and governance within a fast-growing social enterprise working at the intersection of public policy, advocacy, and impact.

    Reporting to the Director of Financial Management & Operations, the Finance & Operations Coordinator will work closely with a collaborative, high-performing team and gain exposure to how strategic decisions are supported by strong systems, disciplined execution, and thoughtful risk management. The Coordinator will play an integral role in maintaining the operational infrastructure that allows EdVoice, EdVoice Institute and EdVoice for the Kids PAC to operate effectively across multiple entities while remaining compliant with complex regulatory requirements.

    This is an ideal role for someone early in their career who wants to build a deep, practical understanding of how organizations actually run: how money flows, how compliance works in practice, how decisions are documented and executed, and how strong operations enable ambitious teams to focus on mission and impact.     Essential Responsibilities

    Finance & Accounting Operations (40%)

    • Support monthly close processes across multiple entities by preparing reconciliations and backup documentation for review by senior staff
    • Reconcile payroll, benefits, credit card, and vendor activity to the general ledger and flag discrepancies
    • Support accounts payable and receivable processes, including invoice intake, approval tracking, and monitoring payment status
    • Prepare inter-entity reimbursement schedules and supporting documentation under established allocation methodologies
    • Maintain organized finance files and schedules to support audits, financial reporting, and internal reviews

    Compliance & Risk Support (30%)

    • Administer time-tracking and compliance data collection processes related to lobbying, FPPC reporting, and multi-entity allocation requirements
    • Monitor compliance calendars and ensure timely collection of required information, certifications, and acknowledgements
    • Prepare compliance summaries, schedules, and supporting documentation for review by the Director of Finance & Operations
    • Maintain organized records related to FPPC filings, donor disclosures, contracts, and internal policies
    • Track compliance-related deadlines and escalate risks or missing information as needed

    Operations, Vendors & Systems (20%)

    • Maintain centralized contract and vendor repositories, including executed agreements, amendments, and renewal dates
    • Track vendor invoices against contracts and scopes of work and flag inconsistencies
    • Support recruiting and hiring, including candidate sourcing, interview scheduling, and initial screening
    • Manage employee onboarding and offboarding logistics, including payroll setup, benefits enrollment tracking, and IT coordination
    • Maintain internal documentation, templates, and standard operating procedures to support operational consistency
    • Assist with ongoing improvements to document management systems and operational workflows

    Ad Hoc Support (10%)

    • Support team meeting logistics, including calendar coordination, agenda formatting, and materials preparation
    • Draft meeting notes and track follow-up items for internal review
    • Support signature collection, filing, and archival of governance and compliance documents
    • Assist with special projects as needed

    Ideal Candidate Profile

    • 2–4 years of experience in operations, finance, compliance, or administrative support roles
    • Curiosity and willingness to learn complex systems, regulations, and workflows, with the ability to incorporate feedback quickly
    • Strong attention to detail and ability to manage multiple deadlines with accuracy
    • Ability to recognize anomalies, inconsistencies, or risks and escalate them appropriately
    • Ability to prioritize competing deadlines and remain detail-oriented in time-sensitive environments
    • Comfort working in a fast-moving, deadline-driven environment where accuracy matters and priorities may shift
    • Demonstrated ability to maintain accurate records and documentation in audit-ready environments
    • Clear written and verbal communication skills, with the judgment to escalate issues appropriately
    • High level of discretion, integrity, and reliability when handling sensitive information
    • Comfort working extensively in spreadsheets, shared drives, and cloud-based systems; able to keep information organized and version-controlled
    • Proficiency in Microsoft 365 and Google Workspace; experience with accounting, payroll, or CRM systems a plus
    • Interest in nonprofit operations, public policy, advocacy, or compliance environments
    • Bachelor’s degree required

    This is a full-time position based in California. The role is currently remote and may shift to a hybrid work model in the future. Current travel expectations are 10%–20% to meet with the full team and key partners.
