Position Description
The Events Coordinator (EC) position reports to the Administrative and Operations Senior Coordinator. The EC will play a critical role in planning and executing events that raise awareness, engage communities, and support fundraising efforts to advance our environmental mission. This role requires a passion for sustainability, excellent organizational skills, and the ability to coordinate diverse stakeholders, including volunteers, sponsors, donors, partners, and staff. The EC ensures that all events reflect our values and effectively promote environmental stewardship.
Key Responsibilities
- Plan, organize, and manage a variety of in-person and virtual events, including colloquia, educational workshops and site tours, fundraising galas, conferences and summits, international forums, and webinars, among others.
- Develop event concepts and themes aligned with the organization’s brand and messaging, and that enhance Climate Resolve’s reputation as a leading convener.
- Coordinate logistics, including venue selection, permits, catering (preferably sustainable/local vendors), equipment, transportation, and volunteer management.
- Review contracts and follow-up on payment commitments, done by the admin. team.
- Engage with partners and speakers to provide guidance about all aspects of the events.
- Work closely with communications and outreach teams to promote events through social media, newsletters, and community networks.
- Work closely with development and fundraising teams to coordinate the development of event sponsorship materials and outreach to event sponsors, implement sponsorship branding and other benefits throughout the event, thank sponsors and report outcomes to them, and ensure that events generate positive net revenue for Climate Resolve.
- Build and manage event budgets with an emphasis on cost-effectiveness and sustainability.
- Engage and coordinate with community partners, sponsors, and environmental experts to enhance event impact.
- Oversee on-site and virtual event execution, ensuring accessibility and a positive attendee experience.
- Track event outcomes and, as needed, prepare reports measuring engagement, fundraising results, and environmental impact.
- Stay informed on best practices for sustainable event planning and incorporate eco-friendly solutions wherever possible.
- Develop and manage an Events Handbook of best practices for planning and implementing different types of Climate Resolve events, for use by staff, partners, and vendors
- Lead training for staff and volunteers in event support roles.
Qualifications
Required
- A Bachelor's Degree in Event Management, Environmental Studies, Communications, or related field
- 1-3 years of experience in event planning and execution coordination, preferably in the nonprofit sector and/or with sustainable event-management best practices
- Proficiency at being collegial and collaborative, forming and maintaining partnerships with diverse stakeholders and constituencies; able to incorporate feedback from multiple perspectives into decision-making processes
- Strong project management, multitasking, and problem-solving skills
- Excellent time management skills with ability to effectively prioritize multiple tasks; able to work under tight deadlines
- Strong written and verbal communication skills
- Proficient in Microsoft Office and Google Suite platforms
- Willingness to travel to plan and manage events
- A positive, can-do attitude and the ability to work well on a team, as well as independently, and a willingness to ask for help as needed
Preferred
- Knowledge and interest in environmental issues and sustainability practices
- Working knowledge of project management tools such as Asana, Airtable, AllSeated, Neon, GoFundMe, Eventbrite, Constant Contact
- Creativity in designing engaging event experiences
- Experience engaging with sponsors
- Working knowledge of communications and media platforms such as Canva, Twitter, LinkedIn, Instagram, Facebook, and WordPress
- Ability to create or support the development of communication kits for events
- Some familiarity with the Southern California landscape (particular sectors of interest include: NGOs, environmental, service, health, faith, academia, and local government)
