    Position Summary

    MADRE seeks a detail-oriented and mission-driven Donor Relations Officer to support the growth and success of the individual giving program. This is a mid-level position that requires the use of independent discretion and judgment in executing donor stewardship activities, coordinating donor communications and events, and supporting moves management and donor data tracking. The Officer reports to the Donor Relations Manager and works closely with the Donor Relations Coordinator to ensure high-quality donor engagement and retention.

    Position Description

    The Donor Relations Officer plays an important role in advancing MADRE’s individual giving efforts by supporting donor engagement strategies, managing a portfolio of mid-level donors, and coordinating stewardship communications and events. This role requires a combination of relationship-building with strong donor communications, data management, and event logistics. The Donor Relations Officer plays a key part in ensuring that donors feel informed, appreciated, and inspired to sustain their commitment to MADRE.

    This position requires a detail-oriented communicator who thrives in a collaborative environment and brings a donor-centered mindset to every aspect of their work. The Donor Relations Officer is responsible for efficient, timely communication with donors and co-workers, liaising with vendors and consultants, and may be responsible for the supervision of interns. The Donor Relations Officer also works closely with the Donor Relations Manager to align strategy, timelines, and engagement activities.

    Core Responsibilities

    Donor Stewardship & Engagement:

    • Manage a portfolio of 100–150 mid-level donors, including but not limited to engaging in stewardship, cultivating relationships, and soliciting renewals and upgrades.
    • Support the development and implementation of stewardship plans at various recognition levels and key milestones (first-time, recurring, multi-year, legacy donors).
    • Contribute to the drafting and implementation of personalized communications to current and prospective donors.
    • Collaborate on acknowledgment and recognition opportunities and procedures, including assisting with the acknowledgment letter process and identifying opportunities for personalization.
    • Work in partnership with Communications to identify donor and impact stories, prepare donor-facing materials, select photos, and develop other donor-related content.
    • Engage with donors on an individual level, including attending fundraising events, speaking engagements, and meetings.
    • In coordination with the Donor Relations Coordinator, assist with fundraising and donor events, including but not limited to handling event logistics, drafting outreach materials, researching and preparing attendee bios, preparing materials for donor-focused events and gatherings, and performing other attendee engagement activities.

    Moves Management & Portfolio Tracking:

    • Support the execution of Individual Giving’s strategies and donor timelines.
    • Support the process that prompts other team members to engage with key prospects and donors routinely and effectively to cultivate such relationships.
    • Conduct donor research and assist with donor segmentation.
    • Analyze donor data to identify trends and opportunities for improvement.
    • Assist with facilitating weekly team meetings, including setting agendas, tracking and following up on action items.
    • Ensure that details of donor engagement and stewardship plans are compiled and communicated to all involved team members, and that the plans are documented and implemented.
    • Maintain accurate and up-to-date donor records and databases, including reconciling EFT gifts, documenting donor strategies, and logging interactions and touchpoints in CRM for use in future cultivation and to track next steps and renewals.
    • Coordinate with the Donor Relations Coordinator to ensure CRM accuracy.

    Support with Contract Execution and Budget:

    • Assist with determining the support needed for the review and routing of funder and donor contracts and agreements and providing such support.
    • Track quarterly revenue and ensure accurate recordkeeping of grant deliverables and timelines.
    • Assist with determining what supplemental grant materials are needed, such as budget attachments, reports, and funder updates, and the preparation of such materials.

    Event and Donor Engagement Support:

    • In coordination with the Donor Relations Coordinator, assist with fundraising and donor events, including but not limited to handling event logistics, creating detailed project timelines, coordinating vendor services, researching and drafting attendees for bios, maintaining attendee lists, and facilitating follow-up communications.
    • Assist event-related communications and outreach, such as drafting and editing call scripts and thank-you letters, and preparing donor packets.
    • Assist with pre- and post-event support (e.g., helping to determine and facilitate the completion of follow-up tasks).
    • Attend fundraising events, speaking engagements, and meetings.

    Other:

    • Supervise interns and liaise with donors, vendors, and consultants, as required.
    • Collaborate with the Development team on learning/evaluation efforts.
    • Cross-collaborate and communicate with all MADRE teams to support learning and information sharing.
    • Exercise discretion and independent judgment in the performance of the above-outlined responsibilities.
    • Perform other tasks and duties as assigned by management.

    Required Qualifications

    • Commitment to MADRE’s mission, vision, and values, with an understanding of feminist, social justice, or human rights-oriented work.
    • Passionate about human rights, social justice issues, and the role of philanthropy in supporting local groups for social change.
    • Bachelor's degree or equivalent work experience.
    • Minimum of 3-5 years of experience in fundraising, donor communications, non-profit administration, customer service, or stewardship.
    • Ability to work independently and collaboratively, take initiative, learn in real time, and adapt as organizational needs evolve.
    • Strong written and verbal communication skills, including the ability to manage communications professionally and with a high level of attention to detail and accuracy, the ability to draft clear, structured, grammatically correct writings, the ability to assist with facilitating meetings, and experience effectively speaking with supporters.
    • Detailed knowledge of and demonstrated proficiency in the use of computers and databases, including software programs such as Microsoft Office (including Microsoft Outlook, Word, Excel, and PowerPoint) and Google Drive (including Google Sheets, Docs, and Slides).
    • Familiarity with data and digital systems such as Salesforce, Airtable, or other CRMs; ability to partner with technical staff on execution.
    • Strong organizational and problem-solving skills, with the ability to thrive in a fast-paced, dynamic work environment, including managing competing priorities, reprioritizing tasks as needed, and balancing multiple assignments, projects, initiatives, donors, and deadlines with professionalism and flexibility.

    Working Conditions

    This role requires authorization to work in the United States. This role is eligible for remote work, subject to MADRE’s Remote Work Policy, which requires prior approval of your remote location. This position will require occasional in-person meetings, which are anticipated to include meetings at MADRE’s headquarters and an annual retreat.

    (a) Travel – This position may require some travel, as determined by MADRE in its discretion.

    (b) Physical/Sensory Demands – MADRE maintains a fast-paced working environment. This position requires extensive computer usage, online engagement, and communications both within MADRE and externally. Additionally, this position requires that the employee be willing to build inclusive relationships and collaborate with employees at all levels within the organization and with partners and others outside the organization.
