    Description

    The Children’s Movement of Florida is the state’s leading voice for early childhood and early learning. We are seeking a seasoned Office Manager to serve as the operational backbone of our organization.

    This is not an entry-level role. We are looking for a career administrative professional who brings maturity, discretion, and systems discipline to their work.

    The Office Manager ensures that our office operations, executive support, financial processes, and database systems function efficiently and accurately. This role requires strong execution skills, attention to detail, and comfort working independently in a fast-paced environment.

    Core Responsibilities:

    Office Operations

    • Manage daily office operations and vendor relationships
    • Oversee supplies, maintenance, mail, and front desk responsibilities
    • Serve as point person for IT support coordination

    Executive Support

    • Manage complex scheduling and travel logistics
    • Prepare materials and maintain shared files
    • Anticipate needs to ensure smooth execution

    Database & Event Management (EveryAction)

    • Create and manage events in EveryAction
    • Track and upload attendance data
    • Enter and code contacts accurately
    • Maintain contribution records
    • Assist with segmented email sends

    Accounting & Financial Administration

    • Manage invoices, expense tracking, and check printing
    • Reconcile credit card statements
    • Maintain organized financial documentation

    HR & Development Support

    • Manage onboarding documents and staff platform access
    • Maintain personnel records
    • Support grant documentation and acknowledgments

    Qualifications

    • 5+ years of administrative or office management experience
    • Strong systems and database comfort (CRM experience required)
    • High attention to detail and follow-through
    • Financial and reconciliation experience
    • Professional discretion and maturity
    • Ability to work fully in-office
