Responsibilities
This position manages, coordinates, and maintains a comprehensive volunteer management program to orchestrate a community of 200+ volunteers who provide crucial support to Literacy Source services. In addition to providing direction and coordination of all volunteer functions, the VPM will coordinate outreach, recruitment, training, and ongoing tracking and maintenance of both on-site and off-site volunteers. The VPM also coordinates and supervises WSC AmeriCorps and VISTA programs and members.
The VPM works with all Literacy Source staff and community to create an on-going welcoming rapport with volunteers to ensure they feel supported and valued. In addition, the VPM works to support the Literacy Source mission, values and current strategic plan, which includes furthering Literacy Source’s efforts toward becoming an anti-racist, multicultural organization.

Specific Description and Duties
Volunteer Outreach & Recruitment
- Conduct two monthly New Volunteer Orientations (NVO) online
- Coordinate participation in volunteer recruitment events and opportunities
- Publicize opportunities for volunteers, including updating information on online sites and coordinating posting of flyers in communities
- Work with the Communications Manager to facilitate distribution of information relevant to volunteers including a monthly online volunteer newsletter
- Work with Website Development to maintain information. on the website for volunteer site and events page
- Respond to all volunteer enquiries, screen and interview potential volunteers.
- Coordinate recruitment and placement opportunities with Seattle Public Library Conversation Class Manager
- Assist Co-E.D., Directors with board and committee member recruitment and outreach
Supervision, Training & Support
- Work with the Co-E.D., Educational Director to coordinate volunteer trainings, including developing an annual training plan and updating online training resources
- Provide administrative support for local online and in-person trainings
- Provide site supervision and overall support to AmeriCorps Service and VISTA members.
- Give job-specific guidance and support to all members as their work plan relates to volunteer recruitment, development, and support
- Provide volunteer support to Seattle Public Library Conversation Class Manager
- Coordinate volunteer resources and relevant content updates for the instructional Google Drive (with Instructional Team)
- Work with Instructional Advisors to match tutors to students and instructors to classes
Volunteer Appreciation
- Plan and organize volunteer recognition events, including twice yearly Literacy Source celebrations and during annual National Volunteer Week
- Spotlight a volunteer bi-monthly as a feature in the general E-Newsletter
- Work with offsite Seattle Public Library Conversation Class Manager to recognize and support offsite volunteers
- Develop an on-going friendly and supportive environment where volunteers feel welcomed, included and able to participate
Advocacy/Leadership/Outreach
- Attend Board Governance Committee meetings as applicable, to assist in new Board member recruitment/onboarding/training process
- Attend relevant local provider and community meetings
- Attend the annual volunteer management conferences (Literacy Minnesota, Volunteer Admin Network)
- Represent Literacy Source with other local non-profit volunteer programs and maintain networking connections.
Ongoing Tracking & Systems
- Review and manage volunteer policies, procedures, and standards of volunteer service
- With Office Coordinator and Data Manager, monitor volunteer data entries in Apricot database
- With Co-E.D., Managing Director and Finance Manager plan and track a volunteer budget for trainings and volunteer appreciation
- With the Data Manager, track volunteer demographic data, tutor retention, and attrition.
- Monitor a system that tracks volunteer training attendance
- With Data Manager and Co-E.D., Educational Director, set and monitor volunteer program KPIs to support long-term organizational strategic goals
General Office
- Regularly provide office coverage and assist with ongoing office activities, including phone answering, opening and closing
- Provide updated information on volunteer activities for inclusion on website
- Work easily as part of a team and participate in regular staff meetings
- Support long-term strategic planning along with Board members and other staff
- Other tasks as needed
Required Qualifications
- Program management/leadership experience
- Experience designing and running trainings for adults
- 1+ yrs. coordinating and running a volunteer program
- Experience serving low-income, adult learners who face multiple challenges
- Experience working in non-profit or public agency with individuals of diverse backgrounds
- Demonstrated level of cultural awareness and commitment to advancing diversity, equity, and inclusion work
- Ability to interact with a variety of diverse personalities, be able manage conflicts, different approaches, opinions and methods
- Commitment to Professional Development in work area
- Excellent verbal and written communication skills and demonstrated competence in interpersonal relationships and group facilitation
- Demonstrated ability to organize public outreach events, good presentation skills
- Ability to prioritize and execute multiple tasks in a busy office environment
- Strong computer and organizational skills
- Willing to work flexible hours, including evenings and occasional weekends
Desired Qualifications
- 1+ yrs. education or experience in working in adult foundational education, social work, or a related field
- Ability to utilize statistics as a tool for highlighting volunteer program achievements
- Lived experience that reflects our student population (proficiency in Spanish, Chinese, Amharic, Oromo, Arabic, Tigrigna; immigrant or refugee; non-traditional educational trajectory)
Time Commitment
35 hours a week that take place Monday to Thursday between 8.30am and 8pm with additional hours on Fridays or weekends as needed for events or trainings
