    OPERATIONS MANAGER

    The Housing Industry Foundation (HIF) seeks a collaborative and mission-driven operations professional to join our team and help power the day-to-day work that makes our impact possible. Reporting to the Managing Director, the Operations Manager provides essential coordination and support across HIF’s programs and internal operations, including operational, fiscal, and administrative functions. This role is ideal for a highly organized, proactive individual who takes pride in building strong systems, supporting teams, and contributing behind the scenes to HIF’s long-standing commitment to strengthening communities.

    RESPONSIBILITIES

    Financial Operations & Support:

    • Maintain accurate and timely financial records for HIF, including accounts payable, accounts receivable, daily journal entries, and in-kind donations, in accordance with established policies and procedures
    • Reconcile bank statements and credit card accounts on a monthly basis and flag discrepancies promptly for review
    • Process and manage weekly revenue deposits and petty cash in coordination with the Managing Director
    • Support the Managing Director and Executive Director in annual budget preparation by providing accurate financial data, reports, and reconciliations
    • Prepare and file annual 1099 forms and ensure vendor records are complete and compliant
    • Compile and organize supporting documentation for the annual audit and tax preparation, working under the direction of leadership and external partners
    • Run and distribute standard financial reports as requested to support fundraising, board meetings, programs, and the annual report
    • Ensure financial data integrity by performing regular internal reviews and audits and escalating concerns or inconsistencies to leadership
    • Execute financial tasks with accuracy, timeliness, and transparency, recognizing that this role supports financial operations and does not set financial policy or make budgetary decisions.

    Program Administration:

    • Process and track receivables/payables for all Emergency Housing Fund grants
    • Support monthly financial needs for the Affordable Housing Initiative
    • Support Renovations Program as needed, assist in confirming and reporting in-kind financials, and fully participate with all HIF staff on day of service events

    Fundraising:

    • Maintain and update donor database records related to financial transactions and in-kind donations
    • In partnership with Development, support the timely issuance of thank-you letters for all cash and in-kind donations
    • Assist in preparations and help coordinate all HIF events
    • Any additional duties as deemed necessary by the Executive Director & Managing Director

    Office Management:

    • Coordinate day-to-day office operations and logistics
    • Receive, sort, and distribute incoming mail and correspondence
    • Maintain and organize HIF’s shared digital drives and files
    • Maintain records and communication for office-related service providers; escalate issues as needed
    • Perform general administrative duties, including copying, scanning, mailing, and filing
    • Order and track office supplies and equipment within approved budgets
    • Coordinate routine maintenance and repairs for office equipment

    Reporting, Communication, Record-Keeping:

    • Maintain and update records across HIF data systems (e.g., Quickbooks Online, Salesforce, etc.)
    • Prepare and update reports, correspondence, and financial documents using approved tools
    • Perform routine data reviews to support accuracy and escalate discrepancies
    • Maintain strict confidentiality in all business matters

    The above is a general outline of the Operations Manager’s scope of work. Additional duties and tasks may be assigned as needed in order to support the HIF team and programs.

    QUALIFICATIONS

    • Associate’s or Bachelor’s degree, or equivalent combination of education and relevant experience
    • Detail-oriented and highly organized, with strong follow-through and time management skills
    • Clear and professional verbal and written communication skills
    • Demonstrated ability to manage multiple tasks, meet deadlines, and support operational needs
    • Proven experience with bookkeeping and QuickBooks Online (required)
    • Experience working with fundraising or CRM databases such as Salesforce
    • Proficiency with Microsoft Office and Google Workspace
    • Ability to interact professionally with internal and external stakeholders
    • Reliable transportation and ability to travel locally as needed

    COMPENSATION & SCHEDULE

    • $80,000 - $90,000 DOE
    • Full-time position (Monday through Friday; evenings and weekends as needed)
    • Hybrid work schedule; 3 days in office, 2 days remote
