    Position Summary

    The Individual Giving Associate plays an essential role in supporting the Major Gifts program, which engages individual donors contributing $5,000 or more annually. The Associate supports donor engagement through gift acknowledgements, donor materials, special events and other in-person and virtual engagement opportunities. Responsibilities include preparing timely acknowledgements, maintaining CRM records and performing routine prospect research and donor biographies.

    The position reports to the Director, Major and Planned Giving and is an Arlington, VA based, flexible hybrid working role. This position will typically be required to work in-office at least one day per week as needed to produce printed materials and handle mail.

    Duties and Responsibilities

    • Prepare and send personalized acknowledgments, receipts, and thank-you communications to ensure a timely and high-quality donor journey for Leadership Circle and Major donors.
    • Manage logistics and related communications for virtual and in-person donor engagement events, including invitations, registration pages and donation materials.
    • Execute the production and distribution of stewardship materials for Major Gifts and Planned Giving.
    • Generate and maintain routine donor bios, lists and reports for individual giving team.
    • Maintain strong data hygiene for Major Gifts and Planned Giving database records, including moves management actions and next steps.
    • Ensure donor communications and records align with organizational standards, policies, and privacy requirements.
    • Prepare and support donor meeting materials and logistics for Major Gifts team, including scheduling and travel arrangements.
    • Serve as a point of support for donor inquiries related to acknowledgments or events logistics.
    • Collaborate with team members across the organization to maintain timely, relevant and courteous communications with major donors and other external stakeholders.

    Qualifications or Skills Required

    • 1-3 years non-profit administrative experience.
    • Experience planning and running in-person and/or virtual events.
    • Attention to detail with a proactive approach to problem solving.
    • Ability to work independently with internal and external stakeholders.
    • Strong organizational and time management skills.
    • Ability to proofread and commitment to accuracy and attention to detail.
    • Ability to work and communicate with a diverse group of people, including donors, vendors, the public, and staff.
    • Experience communicating with donors or members over phone, email, and virtually, preferred.
    • Familiarity with databases preferred. Familiarity with EveryAction a plus.
