    About Wildlife.ai

    Wildlife.ai is a charity based in Taranaki, New Zealand that uses new technologies for environmental education and protection. Our organisation develops open-source, user-friendly tools—such as smart cameras and machine-learning models—to support biodiversity monitoring for communities, conservation groups, and researchers. Wildlife.ai also delivers educational programmes (including Wild About AI) that teach students and teachers how to use AI to understand and protect local ecosystems. We are passionate about bringing together new tools and creating experiences that bring together technology, the environment and communities.

    Our work is grounded in partnerships with iwi and community organisations, incorporates mātauranga Māori, and follows principles of ethical, accessible, and community-led conservation. Therefore, we are looking for someone to contribute to this mission and help us continue creating innovative, impactful solutions for people and nature.

    About the Role

    As the Executive Assistant and Communications Coordinator, you will provide vital support to the team and help grow our community engagement and ensure our story is shared effectively. Your primary responsibilities will include:

    • Administrative Support: Manage day-to-day administrative tasks, including scheduling meetings, handling general inquiries, maintaining records, and providing support to the General Manager and the wider team.
    • Communications Management: Create and schedule engaging content for our social media channels, website, and newsletters. You will be communicating on behalf of Wildlife.ai, sharing our project updates, successes, and stories with our supporters and the public.
    • Community Engagement: Monitor and respond to comments and messages across our communication platforms, fostering a positive and interactive online community.
    • Content Creation: Draft and edit a variety of written materials, including social media posts, blog articles, newsletters, and basic website updates.
    • Systems & Processes: Assist in maintaining and improving our internal systems, such as our contact database, file management, and basic financial tracking (e.g., processing invoices).
    • Event & Project Support: Provide administrative and promotional support for online and in-person events, workshops, and project launches.

    Compensation and Benefits

    • Position: Administrator and Communications Coordinator (Fixed-term contract)
    • Term: 12 months. Starting date flexible, ideally mid-January. The reason for the fixed term is that the position is funded through an external grant. Continued employment is contingent upon this specific external funding, which is not guaranteed beyond the specified end date.
    • Hours: 16 hours per week (flexible schedule)
    • Salary: $27,160 for 16 hours a week
    • Reporting: You will report directly to the General Manager of Wildlife.ai.

    Requirements

    • Proven experience in an administrative, coordination, or communications role.
    • Excellent organisational and time-management skills, with the ability to manage multiple tasks effectively.
    • Strong written and verbal communication skills, with a keen eye for detail.
    • Demonstrated experience managing social media accounts and creating digital content for an organisation.
    • Proficiency with common office software (e.g., Google Workspace, Notion) and familiarity with communication tools (e.g., Meta Business Suite, WordPress, social media schedulers).
    • A proactive and self-motivated attitude, with the ability to work independently in a remote-first environment.
    • A passion for the environment and an interest in the intersection of technology, conservation, and community.
    • This position requires access to a reliable laptop and internet connection.
