    Job Summary/Objective:

    Central is seeking a seasoned Executive Assistant who will report to the Senior Director of Youth and Family Education. This individual will provide high level administrative support such as calendar management, travel, expense reporting for the Senior Director, and is also responsible for a number of critical LCLJ functions related to registration, reports, and other Salesforce functions, as well as speaking to parents and supporting the functioning of the LCLJ. This individual must be a strong communicator, comfortable in a fast-paced environment, able to work independently, and operate with a high attention to detail. They will interface regularly with senior staff, board members, LCLJ parents and our congregation. Outlined below is a more detailed list of key responsibilities. Given the nature of synagogue work, a great deal of flexibility, resiliency, and a ‘can-do’ attitude are essential as we work to address the needs of a large community.

    Essential Duties/Key Responsibilities:

    Administration:

    • Provides administrative support to the Senior Director including calendar management, expense reporting, and occasional travel.
    • Coordinates and schedules internal and external meetings in support of synagogue goals, e.g. strategic planning or recruiting.
    • Manages communication required, and responds independently when possible, including directing inquiries to other staff as appropriate.
    • With support from others on the YFE admin team, completes other administrative tasks for the Youth and Family Department.
    • Supports YFE Education Committee, LCLJ Grade and Teen Captains as needed, including scheduling meetings, note taking, and follow ups.

    Annual Calendar of Key YFE Events:

    • Works with the YFE team to develop an annual calendar for all YFE events and ensures these events are coordinated with appropriate YFE departments and calendars.
    • Develops and distributes the annual calendar and ensures effective management of calendar invites to required staff.

    LCLJ Tasks

    • First line for all LCLJ related communications, including from parents, prospective families, staff members, or other stakeholders.
    • Serves as one of two key admin staff for LCLJ, including helping bring kids to and from class, answering parent calls, ensuring supplies are in the correct locations and anything else that happens during LCLJ hours.
    • Maintains class lists and attendance records for LCLJ students.
    • Maintains attendance records for LCLJ part time staff and executes payroll.
    • Responsible for all LCLJ registration and reports, including overall LCLJ registration in coordination with Salesforce and LCLJ Director, and events throughout the year.
    • Creates drafts of all LCLJ communications based on comms calendar and coordinates drafts with comms and LCLJ teams.

    Qualifications:

    • Bachelor’s Degree.
    • Minimum of 5-7+ years administrative support experience, experience supporting senior executives.
    • Technology: High level of computer literacy required (we use Microsoft Office): proven ability to quickly learn new software. Experience with SalesForce or similar CRM strongly preferred, knowledge of Zoom and Microsoft Teams a plus. Tech support and training provided.

    Full-time, non-exempt, and eligible for overtime.

    Hours (in coordination with YFE Operations Assistant)

    School Year: Tuesday and Wednesday 10-5,

    Monday and Thursday 10-7

    F 10:00-4:00, with occasional later evening or weekend work

    Summer: 9:00am-5:30pm

    Must be available to work during some High Holy Days, daily during the first and last weeks of LCLJ, and during other special events and programs from time to time. Given the nature of the work, availability after hours, on weekends and holidays, is sometimes required. Central Synagogue has a time-off policy which includes earned comp time.

    The expected salary range for this position is $65,000 to $80,000. Central Synagogue offers an extensive benefits package designed to meet the needs of our dedicated and diverse community. The salary is commensurate with experience based on several factors, including, but not limited to, skills, knowledge, training, education, areas of specialization, and depth and scope of experience. The above salary range represents the Synagogue’s good faith and reasonable estimate of the possible compensation range at the time of posting.

    Hybrid Schedule: One day remote on Friday and four days in the office (Monday-Thursday).
