    Description

    As Assistant Director, you will support the efforts of the Executive Director. Your leadership will be a cornerstone of this organization. You will oversee daily operations, manage project timelines, coordinate team communications, and manage departmental calendars to ensure the organization’s mission is carried out effectively. This role requires someone with a sharp attention to detail, a passion for organization & punctuality, and a commitment to our mission.

    Here is the position description:

    Reports To: Executive Director

    Team Collaboration: All Departments

    Location: Remote

    Hours: 5-10 per week.

    • Create, update, and enforce IELLP’s internal policies, event calendars, and bylaws.
    • Ensure that organizational goals and objectives are being met.
    • Support leadership by overseeing, supporting, and maintaining task delegations, deadlines, and updates.
    • Facilitate communication across departments and their teams.
    • Identify project delays or shortcomings and provide solutions for realignment.
    • Lead or co-lead team meetings to ensure accountability and cohesion.
    • Help onboard new team members and ensure documentation access.
    • Maintain records of contributions, progress logs, and organizational tools.
    • Keep the team inspired, motivated, and focused.
    • As second in command, you will need to step in and manage daily operations when the Executive Director is unavailable.
    • Support leaders of other departments by resolving issues and working together to achieve our mission.
    • Mentor team members and check in on progress, morale, and needs.
    • Help run weekly meetings and check in regularly on progress, morale, and needs.
    • Track assignments and deadlines using project management tools or spreadsheets.
    • Follow up with researchers and writers to ensure work is submitted on time.
    • Organize calendars and timelines for events, meetings, and article releases.
    • Maintain shared drives or documents to make sure everyone is on the same page.
    • Prepare and send team-wide announcements, emails, or updates.
    • Represent IELLP at external meetings with potential donors & partners.
    • Draft outlines and review research and drafts for structure, consistency, clarity, and mission alignment.
    • Give writers constructive feedback to improve drafts before final review.
    • Help prepare reports, grant applications, and funding documentation.
    • Ensure sources are credible and properly cited.
    • Draft partnership proposals or emails to law firms, nonprofits, and schools.
    • Plan events for workshops, know-your-rights sessions, and community engagement.
    • Help brainstorm article ideas based on current events and community issues.
    • Identify training needs that could help the team run efficiently.
    • Develop, update, and maintain training materials.
    • Manage, prepare, and monitor annual budgets.
    • Assist with organizational planning, implementation, and evaluation of programs and initiatives.
    • Ensure regulations are met and appropriate filings are maintained for nonprofit & 501(3)(c) status.

    Preferred Qualifications

    • Bachelor’s degree in Public Administration, Political Science, Communications, or a related field.
    • Strong leadership and organizational skills.
    • Excellent written and verbal communication.
    • Experience in community organizing, nonprofit management, or policy work preferred.
