    Women of Color on the Move (WOCOTM) is a nonprofit public benefit organization committed to empowering historically marginalized communities by advancing health equity, economic empowerment, education, and social justice. Since its founding in 2014, WOCOTM has delivered community-based education, advocacy, prevention, and support programs addressing issues such as substance abuse, maternal and child health, youth development, financial literacy, and community engagement both in the U.S. and internationally.     As our technology initiatives expand, we are seeking a highly organized and mission-aligned Executive Assistant to support the Vice President of Information Technology in advancing strategic IT priorities.

    Position Overview

    We are seeking a proactive and detail-oriented Executive Assistant to provide high-level executive, strategic, and operational support to the Vice President of Information Technology.

    This role serves as a trusted partner in managing departmental priorities, coordinating technology initiatives, preparing executive communications, and ensuring effective execution of IT strategies. The Executive Assistant plays a key role in strengthening organizational efficiency, communication, and operational effectiveness within the Information Technology function.

    This is a non-paid, volunteer leadership support position.

    Key Responsibilities

    Executive & Strategic Support

    • Manage and prioritize the VP of IT’s calendar, meetings, and strategic engagements.
    • Prepare executive briefings, reports, presentations, and board-facing materials.
    • Track strategic initiatives, departmental goals, and performance metrics.
    • Coordinate follow-ups on executive decisions and action items.
    • Support planning and execution of IT strategic initiatives and modernization efforts.

    Leadership & Cross-Functional Coordination

    • Serve as a liaison between the VP of IT, executive leadership, and internal departments.
    • Coordinate cross-departmental meetings and communications related to technology initiatives.
    • Assist in preparing documentation and reports for executive leadership and the Board.

    Operational Oversight & Project Management

    • Monitor IT project timelines and track deliverables.
    • Maintain organized records of IT policies, compliance documentation, and system updates.
    • Assist with vendor coordination and documentation tracking.
    • Support technology governance and documentation processes.

    Communication & Confidentiality

    • Draft and manage high-level communications on behalf of the VP of IT.
    • Ensure timely dissemination of IT updates and organizational announcements.
    • Maintain strict confidentiality regarding executive and technology-related matters.

    Additional duties and responsibilities may be assigned as organizational needs evolve.

    Volunteer Role Notice

    This is a non-paid, volunteer role. Individuals serving in this capacity are not employees of the organization and do not receive financial compensation or employment benefits. Time commitment expectations and responsibilities will be mutually agreed upon in writing.

    Qualifications

    Education (Preferred)

    • Associate’s degree in Business Administration, Public Administration, Communications, Information Technology, or a related field; or equivalent professional experience.
    • Coursework or training in executive support, office administration, nonprofit management, or project coordination preferred.
    • Must know how to do AI

    Experience & Competencies

    • Experience providing administrative or executive support to senior leadership.
    • Strong organizational and project coordination skills.
    • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
    • Proficiency in Microsoft Office, Google Workspace, and virtual collaboration tools.
    • Strong written and verbal communication skills.
    • High level of discretion and ability to maintain confidentiality.
    • Comfort working with technology systems and IT-related documentation (technical expertise not required).
    • Experience working in nonprofit, volunteer-driven, or mission-focused organizations preferred.
    • Ability to work independently in a remote environment.
