Building lasting relationships with the people who power our mission

    About Leveling the Fields

Leveling the Fields is a nonprofit dedicated to empowering girls through fully funded, after-school sports programs—ensuring access regardless of cost, transportation, or opportunity. Our donors aren’t just contributors; they’re part of the team. This role makes sure they feel it.

    Role Overview

The Stewardship & Donor Relations Coordinator is responsible for nurturing relationships with our existing donors through thoughtful communication, meaningful touchpoints, and strong donor profiling. This role ensures donors feel informed, valued, and connected, laying the groundwork for long-term retention and deeper engagement. This is not an acquisition role. It’s about care, consistency, and connection.

    Key Responsibilities

    Donor Stewardship & Communication

    • Manage ongoing communication with current donors across all giving levels
    • Coordinate timely thank-you messages, acknowledgements, and stewardship touchpoints
    • Draft donor-facing updates (impact emails, light reports, milestone notes) in collaboration with Marketing
    • Ensure donors receive relevant, personalized communication—not one-size-fits-all messaging

    Donor Profiling & CRM Management

    • Maintain accurate donor records, notes, and engagement history in HubSpot
    • Build and update donor profiles including interests, giving history, and engagement preferences
    • Tag and segment donors to support tailored stewardship strategies
    • Identify donors ready for deeper engagement and flag for Development leadership

    Retention & Experience

    • Support donor retention strategies for annual, recurring, and mid-level donors
    • Help design a consistent donor journey from first gift to long-term supporter
    • Assist with stewardship-related processes tied to events, campaigns, and annual giving

    Ideal Candidate

    • Highly organized and detail-oriented
    • Warm, thoughtful communicator with strong written skills
    • Comfortable working in a CRM (HubSpot experience a plus)
    • Understands donor psychology and the importance of relationship-based fundraising
    • Passionate about mission-driven work, especially youth, sports, or equity-focused nonprofits
