    Description

    Film Festival Volunteer Room Coordinator

    Location: Omaha, Nebraska at the Festival Office and Aksarben Cinema

    Position Overview: The Omaha Film Festival is seeking a dedicated and detail-oriented Volunteer Room Manager to oversee the operations of our volunteer room during the festival. This essential role involves tracking volunteer hours, ensuring a welcoming and organized environment, and coordinating with various festival teams to support their needs. The Volunteer Room Manager plays a crucial part in the success of our festival.

    Key Responsibilities:

    Before the Festival:

    • Collaborate with other team leaders to ensure all necessary items are prepared for the festival.
    • Work with Leadership Team Members to create a Volunteer Signup Form to track volunteer contact information, demographics, schedules, and hours.
    • Assist in the procurement of volunteer food and beverages with the Volunteer Coordinator.

    Festival Setup Day:

    • Aid in setting up the Volunteer Room according to the provided layout.
    • Prepare the Volunteer Sign-In log sheets/book to track volunteer hours.
    • Coordinate with Team Leaders to determine their starting hours and maintain this list throughout the festival.
    • Collaborate with OFF Site event Team Leaders to track their volunteer hours.
    • Organize and charge walkies with attached headsets for Team Leaders.
    • Set up an organized station for all Scanners in coordination with the Door Manager.
    • Work with the Roadie Team to set up volunteer food and drink areas and stock the drink cooler.
    • Collaborate with the Volunteer Coordinator and/or Door Manager to set up the volunteer computer and printer station.
    • Assist the Front End Manager in creating an organized location for VIP bag assembly and maintaining a good stock of finished bags.
    • Work with the Video Team to establish an organized location for their equipment.

    During the Festival:

    • Receive the overall volunteer schedule from the Volunteer Coordinator.
    • Track volunteer hours, including arrival and check-out times.
    • Collaborate with the Volunteer Coordinator to maintain the schedule and report any late arrivals or no-shows.
    • Keep the Volunteer Room organized and clean by picking up trash, clearing tables, and disposing of empty boxes and containers.
    • Ensure the refrigerator is stocked daily before volunteers arrive.
    • Coordinate with food vendors to display food neatly with all necessary utensils.
    • Monitor walkies, collect them at the end of the night, and ensure they are labeled, organized, and charging for the next day's use.
    • Monitor access to the volunteer room to ensure only volunteers enter and prevent unauthorized guests.
    • Dispose of personal leftovers kept in the fridge for over 24 hours.

    After the Festival:

    • Collaborate with Team Leaders to help them organize their department materials in their designated storage totes.
    • Work with the Roadie Team to organize leftover food and drinks for return to the OFFice.
    • Coordinate with volunteers to organize leftover plates, silverware, napkins, etc., in a designated place for future events.
    • Ensure all important documents are turned over to the Volunteer Coordinator.

    Qualifications:

    • Must be fun, welcoming, and positive.
    • Strong team player with the ability to multitask and pay attention to detail.
    • Availability to attend monthly volunteer meetings.
    • Ability to attend Omaha Film Festival training events and the festival itself.
    • Excellent organizational and communication skills.
    • Prior experience in event coordination or volunteer management is a plus.
    • Enthusiasm for the mission and goals of the Omaha Film Festival.

    This is a volunteer position and does not offer monetary compensation or benefits.
