🐑 About Lambtown
Our mission is to celebrate all things sheep, lamb, and wool. From sheep to shawl, herd to champion, and farm to table, our focus is on education and enjoyment for all.
Lambtown Festival began in 1985 as an exhibit at the Dixon May Fair, with the goal of showcasing the proud sheep ranching heritage of Dixon and the surrounding communities. The festival draws its name from the fact that at one point, more lambs were born in Dixon than in any other city in the country, earning it the nickname of Lambtown USA.
Over the past three-and-a-half decades, Lambtown Festival followed a meandering path as it grew from that first exhibit to a downtown street fair to a festival that takes over the entire Dixon May Fairgrounds, and is now the largest sheep and wool event in California. Each year, thousands of people flock to Dixon to help serve our mission: “to celebrate all things sheep, lamb, and wool. We aim to promote these noble ruminants, from fleece to food, fiber to fabric, and farm to festival, while providing education and enjoyment for all.”
Overview
Lambtown Festival is seeking a meticulous and trustworthy Volunteer Finance Coordinator to manage the festival's financial administration. This essential role, supporting the event held in Dixon, California, involves compiling the annual budget, overseeing all vendor payments and expense reimbursements, and tracking purchases for the festival. This position requires strong attention to detail and a commitment to transparency.
Key Responsibilities & Focus Areas
📈 Financial Planning & Budget Management
- Budget Compilation: Work closely with the Festival Board and various team leads to compile the comprehensive annual operating budget.
- Tracking: Monitor expenses against the approved budget throughout the year.
- Record Keeping: Maintain organized and accurate records of all financial transactions, receipts, and invoices.
💸 Payments & Transactions
- Accounts Payable: Process and manage all outgoing payments (vendor fees, contractor invoices, reimbursements).
- Purchase Management: Oversee and track purchases, ensuring alignment with the budget.
- Documentation: Ensure all transactions are properly documented and categorized.
🤝 Collaboration & Reporting
- Board Reporting: Provide regular, concise financial updates and summary reports to the Festival Board.
- Tax Coordination: Work with the designated tax preparer to provide necessary documentation for annual filings.
🗓️ Commitment and Availability
- Year-Round Commitment: Dedicate an estimated 4-8 hours per month for routine transactions.
- Peak Season (Budgeting & Pre-Festival): Be available for several hours per week during the annual budgeting cycle (typically Q1) and in the final 6-8 weeks leading up to the festival.
- Mandatory Festival Week Availability: Be available and responsive during the festival weekend (Thursday through Sunday) of October 1-4 2026, (including setup/teardown days).
Qualifications
- Required Skills: Proven experience or strong aptitude for basic accounting or bookkeeping. Proficiency with spreadsheet software (Excel/Google Sheets) is mandatory.
- Technology: Familiarity with online banking and digital payment platforms (e.g., QuickBooks Online, PayPal, or similar) is highly desirable.
- Core Competencies: Exceptional attention to detail, accuracy, and a high degree of integrity and discretion.
