    Description

    Position Title: Secretary

    Location: Easton Community Center

    Reports To: Chair of the Board of Directors

    Type: Volunteer/Part-Time

    Overview: The Secretary of the Board of Directors plays a vital role in supporting the governance and operational effectiveness of the Easton Community Center. This position involves maintaining accurate records, facilitating communication among board members, and ensuring compliance with legal and organizational requirements.

    Key Responsibilities:

    1. Meeting Coordination:
      • Schedule board meetings and prepare agendas in collaboration with the Chair.
      • Distribute meeting notices and materials in a timely manner.
    2. Documentation:
      • Record minutes of board meetings, ensuring clarity and accuracy.
      • Maintain official documents, including bylaws, policies, and meeting records.
    3. Communication:
      • Serve as the primary point of contact for board members regarding meeting schedules and documentation.
      • Facilitate communication between the board, staff, and the community.
    4. Compliance:
      • Ensure compliance with legal requirements and organizational policies related to board governance.
      • Assist in maintaining records for audits and regulatory reviews.
    5. Support for Board Activities:
      • Assist in the onboarding process for new board members, providing necessary materials and orientation.
      • Support the Chair in coordinating board evaluations and strategic planning sessions.
    6. Additional Duties:
      • Participate in board committees as needed.
      • Attend community events to represent the board and enhance community engagement.

    Qualifications:

    • Strong organizational and communication skills.
    • Experience in administrative roles, preferably within non-profit organizations.
    • Knowledge of board governance practices is a plus.
    • Ability to maintain confidentiality and exercise discretion.
    • Proficiency in Microsoft Office Suite and other relevant software.

    Commitment:

    • Expected to attend all board meetings and relevant committee meetings, typically held monthly or quarterly.
    • Willingness to dedicate time for additional tasks as needed.
