    Description

    Summary

    A Representative Payee (Rep Payee) is appointed by the Social Security Administration (SSA) to manage Social Security or Supplemental Security Income (SSI) benefits for someone who cannot handle their own finances due to age, disability, or other circumstances. Some of the key responsbilities include:

    • Prioritizing Needs (ensuring basic needs are covered before personal or recreational)
    • Disbursing Funds
    • Record Keeping and Reporting
    • Following SSI Benefit Rules
    • Reporting Changes
    • Safeguarding Funds

    Full Volunteer Description

    Hearth is seeking a Representative Payee Volunteer to assist our residents with managing their finances and ensuring their needs and responsibilities are being met. The expected commitment is 1 day a week, but can be flexible based on need.

    Location: 1640 Washington Street, Boston, MA 02118

    Expected Commitment: Up to 1 day a week (flexible)

    Essential Duties & Responsibilities:

    Banking & Financial Management

      • Monitor client and resident deposits, balances, and outstanding payments.
      • Process disbursements for bills (room and board, pharmacy, personal needs, vacation, etc.) and approve/load debit cards.
      • Set up new accounts, create budgets, and assist program managers in tracking monthly expenses against income.

    Benefits & Eligibility

      • Complete applications, renewals, and updates as needed.
      • Report changes in income, resources, or eligibility status to SSA, Veterans Administration, and other agencies.
      • Working with the clinical team, support beneficiaries with updating reports and redetermination.

    Compliance, Reporting & Auditing

      • Maintain accurate, up-to-date financial records in True Link Financial and other required systems.
      • Prepare and submit required Representative Payee Reports and statistical data to SSA and other agencies.
      • Send monthly reports to clinical staff.

    General Administrative Duties

      • With the assistance of the Vice President of Finance and Controller, provide benefit information to authorized agencies serving beneficiaries.
      • Answer and return phone calls with clinical staff in a timely and professional manner.
      • Open, review, and process mail related to beneficiary accounts.
      • Maintain confidentiality and adhere to HIPAA, agency policies, and code of ethics.
