    Sacramento Pride March & Festival Planning Committee - Vendor & Exhibitor Experience Lead

    POSITION: Vendor & Exhibitor Experience Lead

    REPORTS TO: Pride Director, Community Engagement & Volunteer Manager

    COMMITMENT: Through July 2026

    SUMMARY: The Vendor & Exhibitor Experience Lead oversees all aspects of vendor and exhibitor engagement for the Sacramento Pride March & Festival. This leadership role ensures that all participants have a positive, well-organized, and safe experience. This role develops and executes logistical strategies, coordinates communication and training, and ensures compliance with festival policies and procedures. Working collaboratively with the Pride Committee and volunteer teams, this position plays a vital role in shaping the overall experience of festival attendees through a vibrant and diverse marketplace.

    ESSENTIAL FUNCTIONS:

      1. Vendor & Exhibitor Recruitment: Collaborate with the Pride Director to recruit a diverse mix of vendors and exhibitors, including food vendors, artists, merchants, nonprofits, and activity providers, ensuring broad audience appeal and alignment with Pride’s mission.
      2. Application Management: Manage the EventHub registration system to ensure vendor and exhibitor information, documentation, and compliance materials are accurate and up to date.
      3. Booth Assignment & Logistics: Assign booth spaces, maintain clear maps and layouts, and coordinate with vendors to address special needs, power, water, accessibility, and safety requirements.
      4. Vendor Support & Communication: Serve as the primary point of contact for all vendors before, during, and after the festival, maintaining clear and responsive communication.
      5. Training & Preparation: Develop and facilitate virtual vendor orientations to ensure understanding of festival logistics, timelines, safety procedures, and sustainability practices.
      6. Onsite Operations: Oversee vendor load-in, set-up, operations, and load-out; ensure compliance with festival policies and coordinate with relevant teams for power, waste, and emergency needs.
      7. Volunteer Coordination: Collaborate with the Volunteer Engagement Lead to recruit, train, and supervise volunteers assigned to vendor operations, including booth numbering, placement, check-in, and support.
      8. Committee Collaboration: Participate actively in Pride Committee meetings, planning sessions, and post-festival debriefs to align vendor logistics with overall event goals.
      9. Safety & Contingency Planning: Become familiar with contingency and safety plans to ensure the safety of vendors.

    REQUIREMENTS

      1. Commitment to the Organization: Passion for the Center’s mission and dedication to fostering an inclusive region where LGBTQ+ individuals thrive. Adherence to all organizational policies and procedures.
      2. LGBTQ+ Community Awareness: Experience working with LGBTQ+ communities and familiarity with issues affecting LGBTQ+ individuals.
      3. Historical Context Understanding: Awareness of the historical significance of Pride events and their importance in the LGBTQ+ movement.
      4. Diversity & Inclusion: Ability to collaborate effectively with individuals from diverse racial, ethnic, socioeconomic, gender, and cultural backgrounds in an intersectional environment.
      5. Communication Skills: Strong interpersonal, verbal, and written communication skills in English. Training in conflict resolution or mediation is a plus.
      6. Availability: Must be available for at least 80% of Pride Committee meetings, relevant subcommittee meetings, festival set-up and break-down, full attendance at the festival (June 6–7), and post-mortem evaluations.
      7. Teamwork & Independence: Ability to work both independently and collaboratively within a team structure.

    QUALIFICATIONS AND EXPERIENCE

      1. Vendor Coordination Experience: Previous experience coordinating vendors or exhibitors for festivals, trade shows, or community events is highly desirable.
      2. Leadership & Team Management: Proven ability to manage and lead a team of 10 or more volunteers effectively.
      3. Administrative Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneDrive) and familiarity with EventHub or similar event management systems.
      4. Commitment to Equity: Dedication to anti-racism, diversity, and racial equity principles.
      5. Language Skills: Bilingual candidates (English and Spanish, ASL, Mandarin, Hmong, Hindi, Vietnamese, Tagalog, or Punjabi) are preferred.
      6. Physical Requirements: This position may involve prolonged sitting/standing, navigating tight spaces, lifting up to 50 pounds, ascending/descending stairs, operating office equipment, observing festival activities, and using communication devices (e.g., radios, walkie-talkies). Reasonable accommodation is available for individuals with disabilities.
      7. Background Check: A criminal background check is required. Convictions for violent crimes are disqualifying, but other convictions will be reviewed on a case-by-case basis.
      8. Drug-Free Workplace: The Sacramento LGBT Community Center maintains a drug-free workplace. Volunteers reporting under the influence may face disciplinary action, up to and including termination.
