Position Summary
The Initiatives (a patient-led arts & health program) is seeking a detail-driven Partnerships & Sponsorships Coordinator to help us connect mission-aligned companies, clinics, and donors with our programs—adaptive concerts, patient storytelling, and lived-experience-driven research. You’ll keep the pipeline organized, ensure sponsor benefits are fulfilled, and support light marketing for campaigns and events. Key Responsibilities
Partnership & Contract Support
- Maintain a simple CRM/pipeline of ~40–60 prospects; update stages weekly.
- Track sponsor/partner deliverables (logos, shout-outs, deck placements, ticket holds).
- Prepare basic invoice info and W-9 requests for the admin/treasurer when needed.
- Keep records tidy: MOUs, emails, deliverable screenshots, fulfillment proof.
Marketing & Communications
- Coordinate 1–2 email blasts/month about partner highlights or calls-to-action.
- Draft 3–4 short social posts/month (with alt-text) to recognize partners.
- Update partner/sponsor sections on the website or donation platform (Zeffy/BetterWorld).
Webinars & Event Support (as needed)
- Schedule partner webinars or briefings (calendar invites, run-of-show, speaker prep).
- Support sponsor visibility at events (slide logos, table signage, thank-you scripts).
- After each event, help compile a one-page recap for sponsors and the board.
Departmental & Admin
- Join a 30-minute weekly pipeline stand-up; send recaps and next asks.
- Research 5–10 new aligned leads/month (CSR, clinics, universities, vendors).
- Pitch in on special projects that strengthen ties with providers and sponsors.
Time Commitment
- 5–7 hours/week total:
- 30-min pipeline stand-up
- 2–3 hrs outreach/admin (CRM updates, emails, scheduling)
- 1–2 hrs marketing/sponsor fulfillment
- Optional: event weeks may add 1–2 hrs
Outcomes & KPIs (tracked monthly)
- Outreach: 8–10 qualified touches/week (email or LinkedIn)
- Meetings set: 2 partner/prospect meetings/week for the ED
- Conversion: 2 warm sponsors/partners moved to “proposal” per month
- Fulfillment: 100% of sponsor benefits delivered on time (zero misses)
- Data hygiene: CRM updated within 24h of activity (zero stale opps)
Qualifications
- Strong organization and follow-through; comfort with spreadsheets/CRMs.
- Clear written communication; professional email etiquette.
- Familiarity with Google Workspace; bonus: MailerLite/ConvertKit, Canva.
- Interest in arts, disability inclusion, health/medicine, or community impact.
- Able to work independently, ask precise questions, and hit weekly numbers.
Training & Support
- Onboarding playbook, templates, and scripts provided.
- Weekly coaching with the ED/Development Lead; quarterly growth check-ins.
- Letter of recommendation, LinkedIn endorsement, or academic credit (if applicable).
