    Role Overview

    The PostBaby Bliss Foundation is seeking a highly organized and proactive Executive Assistant (Volunteer) to support the Executive Director and leadership team. This key role involves managing administrative tasks, scheduling, communications, and coordination to ensure the smooth operation of the Foundation’s initiatives.

    Key Responsibilities

    Administrative Support:

    o Manage the Executive Director’s calendar, schedule meetings, and coordinate appointments.

    o Prepare agendas, take detailed meeting minutes, and follow up on action items.

    o Maintain and organize files, records, and correspondence.

    Communication & Coordination:

    o Serve as the primary point of contact for internal and external communications related to the Executive Director.

    o Draft and proofread emails, reports, and presentations as needed.

    o Coordinate communications with the Board of Directors and key stakeholders.

    Event & Program Support:

    o Assist in planning and coordinating meetings, workshops, and special events.

    o Provide logistical support for programs and initiatives led by the leadership team.

    Project Management:

    o Track deadlines and deliverables for key projects and initiatives.

    o Assist with grant tracking and reporting in collaboration with the Development team.

    Other Duties as Assigned:

    o Support the leadership team with additional tasks as needed to advance the Foundation’s mission.

    Minimum Qualifications

    Education & Experience: Previous experience in administrative support or executive assistance preferred.

    Skills & Competencies:

    o Exceptional organizational skills and attention to detail.

    o Strong verbal and written communication skills.

    o Proficiency in Microsoft Office Suite, Google Workspace, and virtual meeting platforms.

    Abilities: Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.

    Nice to Have Qualifications

    Familiarity with nonprofit organizations.

    Preferred Personal Attributes

    Passionate about supporting postpartum families and advancing the Foundation’s mission.

    A proactive, self-starter who can work independently and collaboratively.
