An Executive Assistant (EA) to the Director service line provides strategic administrative, operational, and personal support, acting as a key partner to the Director service line by managing their schedule, handling communications, coordinating travel and meetings, preparing documents and presentations, and managing projects to optimize the Director service line productivity. This high-level role requires exceptional organizational, communication, problem-solving, and discretion skills, with responsibilities often extending to interacting with board members, stakeholders, and the public on behalf of the Director service line
Key Responsibilities
Calendar & Meeting Management:
- Manage the Director service line complex schedule, coordinate meetings and events, and ensure proper meeting logistics.
Communication Management:
- Screen and direct incoming calls, emails, and other communications, and draft correspondence on behalf of the Director service line
Travel Coordination:
- Arrange and manage domestic and international travel, accommodations, and itineraries.
Administrative & Project Support:
- Conduct research, prepare reports, create presentations, and handle various administrative duties to support the Director service line strategic initiatives.
Gatekeeping:
- Act as the primary point of contact for the Director service line, managing access to the executive's time and information.
Problem-Solving:
- Anticipate needs, resolve challenges proactively, and minimize distractions for the Director service line.
Relationship Management:
- Interact with board members, internal staff, external partners, and clients on behalf of the Director service line.
