    Reports To: College & Career Prep Coordinator & Program Director

    Department: Programs Division / College & Career Prep

    Employment Status: Volunteer / Program Staff

    Location: Remote (with on-site support required for workshops, college fairs, and trips)

    Pretty With Purpose, Inc. is a nonprofit organization dedicated to empowering young women through mentorship and leadership development. Our College and Career Prep program offers workshops, resources, and counseling to help young women navigate the complexities of college admissions, scholarships, and career planning.

    Position Summary

    The College and Career Assistant provides essential day-to-day support to the College & Career Prep Coordinator. You will assist students with applications, scholarships, internships, and career exploration while managing the administrative backbone of the program.

    Your primary focus is tracking participant progress, managing logistics (such as permission slips and scheduling), and preparing high-quality digital resources like scholarship lists and resume templates. You operate as a "Helper" (H) within the MOCHA framework, executing tasks delegated by the Coordinator to ensure program efficiency.

    Key Responsibilities

    Student Support & Resource Management

    • Resource Creation: Prepare and update digital resources, including scholarship lists, resume templates, and internship guides for student use.
    • Application Tracking: Maintain the application organizer (Excel/Google Sheets) to track student applications, scholarship submissions, and deadlines.
    • Guidance: Assist students in completing college and career preparation checklists and submitting required documents on time.

    Administrative & Logistics

    • Participant Tracking: specific tracking of program participants, attendance, and progress toward grade-level goals.
    • Event Logistics: Manage permission slips, transportation schedules, and itineraries for college trips and site visits.
    • Communication: Assist in communicating with students and parents regarding upcoming deadlines, workshops, and the annual college fair.

    Event & Fundraising Support

    • College Fair: Assist the Coordinator in hosting or partnering with the annual college fair at designated high school locations.
    • Fundraising: Support the Coordinator in executing fundraising strategies to sustain the program budget and fund scholarships.

    Outcomes & KPIs

    • Resource Availability: 100% of digital resources (scholarship lists/templates) are updated and available to students by the start of each semester.
    • Data Accuracy: Participant application tracking sheets are updated weekly.
    • Logistics: All permission slips and logistical documents for college trips are collected and filed 48 hours prior to departure.
    • Reporting: Successfully assist the Coordinator in compiling data for the monthly report due by the 25th of each month.

    Qualifications

    • Education/Experience: Background in education, counseling, administration, or student services is preferred.
    • Technical Skills: Proficiency in Microsoft Office (specifically Excel for application tracking), Canva (for resource creation), and Google Suite.
    • Organization: Strong attention to detail regarding deadlines, paperwork, and data entry.
    • Communication: Excellent written and verbal communication skills are essential for interacting with students and parents.

    Expectations & Commitment

    • Time Commitment: Estimated 5–10 hours per week. Must attend program meetings (typically monthly) and designated activities.
    • Confidentiality: Must sign a Non-Disclosure Agreement (NDA) and maintain strict confidentiality regarding student grades, transcripts, and personal information.
    • Professionalism: Must adhere to the "Eagle Way" and PWP policies, ensuring no unsupervised meetings with minors without parent/PWP consent.
