Brooklyn Chiropractic Studio is looking for a warm, organized, and proactive Patient Experience & Operations Coordinator to become an integral part of our growing practice.
For over a decade, we’ve built a reputation for providing thoughtful, individualized chiropractic care to people of all ages. Our patients come to us because they know they will be listened to, cared for, and treated as individuals—not simply as appointments on a schedule.
Our light-filled, boutique practice is located in the heart of Williamsburg, Brooklyn. We care for a diverse and close-knit community that includes infants and children, pregnant and postpartum patients, families, athletes, active adults, and people seeking personalized support for pain, nervous system function, mobility, and overall well-being.
We believe an exceptional healthcare experience begins long before someone enters the treatment room. As the first person many of our patients will meet or speak with, you will play an essential role in helping each person feel welcomed, supported, and genuinely cared for.
This is much more than a traditional front desk position. We are looking for someone who wants to become an important member of our team and grow alongside the practice. Over time, this role has the potential to develop into a Practice Manager position with increased responsibility and compensation.
About the Role
As our Patient Experience & Operations Coordinator, you will help create an exceptional experience for every patient while supporting the daily operations and continued growth of the practice.
Patient Experience
- Welcome every patient with warmth and professionalism.
- Answer phone calls, emails, and messages promptly and thoughtfully.
- Guide new patients through their first visit and help them feel comfortable, informed, and cared for.
- Create a calm, positive, and organized environment throughout the office.
- Notice and respond to the small details that can make someone’s experience feel special.
Scheduling and Patient Care Coordination
- Respond to new-patient inquiries and help convert them into scheduled appointments.
- Manage scheduling, confirmations, cancellations, and waitlists.
- Reduce missed appointments through clear and proactive communication.
- Help patients stay on track with their recommended care through thoughtful follow-up and rebooking.
- Reach out to patients who are overdue for care or need additional scheduling support.
Office Operations
- Keep daily office operations running smoothly so the doctors can remain focused on patient care.
- Process payments and support administrative workflows.
- Maintain an organized, clean, and welcoming office environment.
- Assist with inventory, supplies, and preparation of treatment rooms and shared spaces.
- Support special projects and new systems as the practice grows.
Marketing and Community Support
- Help gather patient testimonials and online reviews.
- Capture occasional photos and videos for the practice’s social media.
- Track how new patients hear about the practice.
- Assist with community events, referral relationships, and other practice-building initiatives.

Experience in healthcare, hospitality, boutique fitness, wellness, or customer service is a plus, but it is not required. We value warmth, emotional intelligence, sound judgment, attention to detail, and a willingness to learn.
Because this role involves frequent phone and written communication, strong verbal and written communication skills are essential. Comfort learning scheduling and practice-management software is also important.
Schedule
The position will begin at approximately 20 hours per week, with the opportunity to grow to approximately 27–30 hours per week as the practice grows.
Availability is needed within the following schedule:
- Monday: 9:30 a.m.–6:30 p.m.
- Wednesday: 9:30 a.m.–2:30 p.m., with the possibility of extending to 6:30 p.m.
- Thursday: 9:30 a.m.–5:30 p.m.
- Friday: 9:30 a.m.–2:30 p.m.
The initial schedule will be finalized based on the needs of the practice and the selected candidate’s availability. Please include your availability for each of these days when applying.
Compensation and Growth
- $22–$25 per hour, based on experience.
- Approximately 20 hours per week initially, with the opportunity for additional hours as the practice grows.
- A 90-day performance review to discuss progress, responsibilities, and opportunities for continued growth.
- The potential to develop into a Practice Manager role over the next 12–18 months for the right person.
