Key Responsibilities
Front Desk & Reception
- Greet and assist visitors, clients, and partners, answer and route calls.
- Maintain visitor logs and ensure front desk area is clean and welcoming.
- Manage incoming and outgoing mail, deliveries, and courier services.
- Provide general information about programs and services.
Administrative & Program Support
- Schedule meetings, trainings, and events; prepare materials as needed.
- Format and proofread correspondence, reports, and other documents.
- Maintain databases, spreadsheets, and organized digital/physical files.
- Support program intake, follow-up with prospective participants, and assist with applications.
- Provide administrative support across departments to ensure efficient daily operations.
Survey, Data, & Reporting
- Design and distribute surveys using Google Forms, Microsoft Forms, SurveyMonkey, or similar tools.
- Compile, analyze, and link survey responses to spreadsheets; generate clear, actionable summary reports.
- Maintain accurate records of participant and stakeholder feedback.
Communications & Marketing Support
- Create flyers, newsletters, and promotional materials using Canva or comparable design tools.
- Assist with communications for programs, outreach, and events.
Operational & Facilities Support
- Monitor and restock office supplies, support basic IT troubleshooting and vendor coordination.
- Set up and break down rooms for meetings, classes, and events.
- Maintain organized shared spaces and report facility issues.
Event Support
Event Support
- Assist with event logistics, registration, communication, check-in, and on-site support.
- Prepare training materials, folders, and handouts; track attendance when needed.
- Attend and actively participate in community outreach events, serving as a representative of The Training Source by engaging attendees, answering questions, and sharing information about available programs and services.
Teamwork & Professionalism
- Anticipate needs and take initiative to support office and program functions.
- Work collaboratively, accept feedback, and adapt to shifting priorities.
Qualifications
- High school diploma or equivalent; associate degree preferred.
- 1–2 years of administrative, receptionist, or office support experience; nonprofit experience a plus.
- Proficiency in survey tools (Google Forms, Microsoft Forms, SurveyMonkey) and data analysis in Excel or similar platforms.
- Ability to turn survey/program data into clear, actionable insights.
- Experience creating flyers or digital content in Canva or similar programs.
- Strong communication, customer service, and organizational skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); Salesforce or CRM experience a plus.
- Ability to multitask, work independently, and collaborate effectively.

Physical Requirements
- Ability to sit, stand, and move around the office for extended periods.
- Ability to lift up to 25 lbs. occasionally for event setup.
Work Schedule & Compensation
Full-time, on-site position. Occasional evenings and weekends may be required for events.
Pay Range: $18–$20/hour, based on experience.
