    We're growing, and we're looking for a detail-oriented, dependable Operations Assistant to support our team across finance, admin, and payroll functions.

    What You'll Do

    This role exists to add flexible, reliable capacity to the Balanced Ops team. You won't be doing all of these things at once; work will flex based on client needs and team priorities at any given time. Payroll operations is the primary focus of this role; finance and admin support round out the scope. Below are the three areas where you'll plug in, with the understanding that the specific tasks will evolve as we grow.

    Payroll Operations – Priority

    • Serve as backup for end-to-end payroll processing
    • Open and close state payroll tax accounts; manage compliance registrations
    • Run, analyze, and distribute payroll reports
    • Review and verify timesheets for accuracy
    • Support payroll audits and year-end compliance tasks

    Admin Support

    • Monitor client-facing and internal inboxes
    • Coordinate scheduling, calendar management, and meeting logistics
    • Prepare agendas, meeting notes, and follow-up documentation
    • Support client onboarding and operational workflows
    • Assist with document organization, file management, and internal templates

    Finance Operations

    • Process vendor invoices and route for approval
    • Manage transactions, receipts, and expense tracking in Ramp
    • Support day-to-day data entry and recordkeeping in QuickBooks and Sage Intacct
    • Help prepare documentation for monthly closes or audits

    What We're Looking For

    • Organized and reliable, comfortable working independently in a remote environment
    • Some exposure to financial tools (Ramp, QuickBooks, Sage Intacct, Financial Cents) and/or payroll platforms (Gusto, Rippling, Paychex) is preferred
    • Clear, proactive communicator who flags issues before they become problems
    • Genuine interest in supporting mission-driven nonprofits

    The Details

    • Hours: 5–10 hours/week
    • Availability: At least one hour of daily weekday availability between 9-5 in any US timezone to monitor emails and team communications; all other work is flexible and async
    • Location: Fully remote
    • Compensation: $30–$35/hr
    • Type: Hourly, part-time contractor
