Executive Assistant to the President & CEO

Salary Range: $65,000 – $72,000

About the Role:
Our client, a national nonprofit organization focused on advancing academic nursing and healthcare education is seeking a highly skilled Executive Assistant to the President & CEO. This is a direct hire opportunity. The role provides high-level executive and administrative support to the organization’s chief executive and plays a critical part in ensuring smooth operations, effective communication, and strategic coordination across leadership, board members, and external stakeholders.
The ideal candidate is proactive, exceptionally organized, detail-oriented, and comfortable working in a fast-paced, executive-level environment.
Responsibilities:
- Partner closely with the President & CEO to stay informed of priorities, commitments, and upcoming responsibilities
- Manage and maintain a complex and dynamic executive calendar, including scheduling, coordination, and meeting preparation
- Coordinate all travel logistics, including transportation, lodging, itineraries, briefing materials, and expense reimbursements
- Work collaboratively with the Board Chair and Chair-Elect to arrange travel, schedule meetings, and maintain shared leadership calendars
- Manage incoming and outgoing executive communications, assessing priority and coordinating appropriate follow-up
- Maintain and update the CEO’s curriculum vitae and professional biography following presentations, publications, and interviews
- Develop talking points and presentation materials, including PowerPoint decks, as directed
- Support the planning and execution of programs and initiatives led by the CEO
- Prepare agendas and coordinate monthly leadership team meetings, including collecting weekly calendars from senior leaders
- Coordinate logistics and activities for virtual executive events in collaboration with leadership and online learning teams
- Support planning and execution of executive-level awards, staff luncheons, and internal engagement events
- Create and maintain electronic filing systems, databases, spreadsheets, and project documentation
- Track organizational projects and initiatives across departments and follow up as needed
- Support Board of Directors meetings, including preparation and meeting minutes
- Collaborate with communications staff to enhance executive presence on social media platforms
- Assist with special projects and perform additional duties as assigned
Qualifications
- Bachelor’s degree preferred, or equivalent combination of education and professional experience
- Prior experience supporting a senior executive or C-suite leader in a high-level administrative role
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms such as Zoom
- Exceptional organizational, time-management, and attention-to-detail skills
- Strong written and verbal communication skills, with a professional and service-oriented approach
- Ability to manage confidential information with discretion and professionalism
