    Description

    The Choice is seeking an immediate Operations and Development Coordinator for our client, a think tank dedicated to advocating for inclusive healthcare policy solutions. This role dually supports the development and operations division of the organization.

    • Hours: The position will start on a temporary basis (30 hours a week/ 9AM-3PM or 10AM-4PM). Upon successful temporary-to-hire conversion, the position will be 40 hours a week.
    • Salary: $26-27 hourly on a temporary basis. Upon successful temporary-to hire conversion, the permanent range could go up to $60,000 based on experience.
    • In office requirements: The organization work remotely however some occasional in person work will required to support events in DC. Candidates must be based in DMV area and able to commute as needed. The team this position supports is also based in the DMV area.

    Desired Qualifications:

    • Minimum of 2 years of professional work experience in bookkeeping, office management, development, grants management or equivalent position with similar responsibilities. Previous experience in a nonprofit organization preferred.
    • Knowledge of Intacct (or accounts payable software), GSuite applications, Raiser’s Edge NXT, and Microsoft Office products preferred.
    • Professional interest in a development support/operations/administrative role

    Job Duties:

    Development Support:

    • Assist the fundraising team with administrative tasks including prospect research, maintaining donor records, and implementation of fundraising campaigns across individual, foundation and corporate revenue streams;
    • Process and record all cash, check, wire, stock and online gifts in Raiser’s Edge NXT, prepare and issue timely acknowledgement letters, invoices and track pledge payments;
    • Maintain the Development stewardship calendar and associated activities;
    • Support the creation, maintenance and updating of donor lists;
    • Perform monthly revenue reconciliation and draft financials for grant reports
    • Provide light grants management support including tracking payment schedules and deadlines;
    • Perform donor database data entry, management and maintenance tasks;
    • Maintain and circulate team meeting agendas and internal meeting notes;
    • Support scheduling Development meetings in partnership with CEO’s executive coordinator and other program administrative staff;
    • Provide administrative and scheduling support to the CDO as needed;
    • Other duties as needed.

    Operations Support:

    • Perform general virtual office management functions such as ensuring employees are equipped with all necessary tools and information; management of documents and applications; provide technical support, and organize and maintain vendor relationships, organizational subscriptions and memberships;
    • Work with off-site accounting firm to perform and manage bookkeeping functions such as accounts payable and receivable, bank deposits, financial records, accurate project coding, time sheet management and general record keeping;
    • Serve as the conduit between the Operations Department and Development Department to ensure each department has the appropriate and necessary information;
    • Manage and monitor the tracking and reporting of employee timesheets, lobbying expenditures, and ensure compliance in coordination with off-site legal and accounting;
    • Conduct monthly reconciliation of project budgets, troubleshoot issues, and manage updates to future spending;
    • Assist with scheduling, planning and coordinating events and meetings including preparing agendas, making travel arrangements, and maintaining organization’s general calendars;
    • Perform various human resources functions including assisting with onboarding and offboarding and handling confidential information such as employee personnel files and benefits administration;
    • Provide administrative and scheduling support for organization wide initiatives and to the COO as needed;
    • Assist in special organizational projects as they arise;
    • Other duties as needed.
